Job Description

The College of Architecture, Arts, and Design is seeking a proactive, highly organized administrative professional to provide high-level administrative support to all six members of the college’s advancement team, including direct support for the Assistant Dean of Advancement.

In this role, you will act as a primary operational coordinator—managing multiple complex calendars, handling travel and expense logistics, coordinating office operations, and executing high-priority stakeholder communications. You will also provide logistical assistance with events and coordinate visits for special guests, advisory board members, and major donors.

This position is also instrumental in executing the college’s stewardship efforts. This is an ideal role for an experienced administrative professional looking for a dynamic position within higher education advancement.

Employees in the College of Architecture, Arts, and Design (AAD) are expected to demonstrate professional conduct, institutional citizenship, and core workplace competencies as essential elements of successful performance. These expectations align with both Virginia Tech’s Principle of Community and the university’s performance competency domains, spanning communication, engagement, professionalism, and teamwork.

AAD personnel are expected to act with integrity, treat others with dignity, civility, and respect, and contribute to an inclusive, collaborative, and service-oriented workplace. Specifically, employees in the college are expected to:

• communicate constructively,
• adhere to applicable policies and procedures,
• support the college and university mission,
• use university resources responsibly,
• exercise sound judgment,
• accept accountability for decisions and outcomes,
• collaborate effectively, and
• remain open to feedback, learning, and continuous improvement.

Required Qualifications

• Multiple years’ experience providing administrative or management support in a professional office environment.
• Proven experience in executive schedule management and travel coordination
• Demonstrated ability to maintain sensitive records and handle confidential information with discretion and diplomacy.
• Exceptional written and verbal communication skills; comfortable interacting with executive-level internal and external stakeholders.
• Demonstrated flexibility to pivot between assignments, respond to time-sensitive requests, and adjust work plans while maintaining progress on ongoing responsibilities.
• Strong proficiency in Microsoft Office 365, SharePoint, calendar management tools, and experience using any CRM or database system.

Preferred Qualifications

• Experience supporting board meetings or high-profile events.
• Prior experience in executive administration within corporate, non-profit, or higher education environments.
• Basic design skills (e.g., Canva or Adobe) for creating clean reports and event materials.
