Job Description

The Administrative Assistant and Project Coordinator provides comprehensive administrative and project support within the Division of Human Resources. Reporting to the Senior Director for Strategy and Operations, this role dedicates approximately 50% of effort to executive-level administrative support for one or more HR executives and 50% to program and project coordination across HR initiatives.

This position plays a key role in ensuring operational excellence by managing executive calendars and communications, coordinating meetings and documentation, supporting onboarding and search processes, and providing structured project management support including research, tracking milestones, preparing reports, and ensuring timely execution of strategic initiatives. The Project Coordinator exercises discretion, sound judgment, and initiative while working with confidential information and multiple competing priorities.

Required Qualifications

• Strong organizational and project coordination skills
• Advanced calendar and meeting management expertise
• Ability to manage multiple concurrent priorities in a fast-paced environment
• Exceptional written and verbal communication skills
• Strong research, documentation, and analytical abilities
• Discretion and sound judgment in handling confidential information
• Proficiency with Microsoft Office Suite and relevant enterprise systems
• Collaborative, proactive, and solutions-oriented approach

Preferred Qualifications

• Experience working in higher education providing administrative support for an executive or senior management level
• Experience managing multiple projects simultaneously in a fast-paced environment
