To provide a high quality of executive support to the Associate/Assistant Deans for Faculty Affairs and Graduate Studies, Undergraduate Programs, Research, and Outreach and Student Engagement. Performs a broad range of administrative and executive duties as required to maintain office functionality. Treats all conversations and information confidentially to help create and maintain a feeling of integrity when dealing with faculty, staff, and clients.
Maintains productive relationship with departmental graduate coordinators and graduate school; maintains online graduate catalog; facilitate updates to college webmaster with regards to research, graduate studies, outreach, and undergraduate programs; organize, schedule, and coordinate visitor itineraries and special events.
This position works in the College of Science Dean's Office located in the North End Center on the Blacksburg Campus.
Required Qualifications
Previous experience managing the operations of an executive office environment and working with senior level management;
A professional and service-oriented demeanor in all interactions with a diverse clientele of the College of Science stakeholders including national associations is required;
Previous project management experience;
Strong leadership skills and demonstrated flexibility to work in a highly structured organization;
Ability to anticipate the needs of senior management and make independent decisions;
Exceptional analytical, interpersonal, organizational, and communication skills are a must;
High level of experience preparing executive communications;
Ability to manage a dynamic schedule;
Ability to work in a fast-paced environment with changing priorities;
Experience working with confidential matters;
Ability to understand and work with university and state policies and procedures (or similar experience);
Demonstrated high proficiency with current office software applications including word processing, spreadsheets, database management systems, electronic mail, and presentation applications;
Working knowledge of web technology with the demonstrated ability to use the web for research/information gathering.
Preferred Qualifications
Considerable knowledge of university organizational structure;
Experience with university and Commonwealth of Virginia policies and procedures related to travel, records management, and HokieMart;
Certified Administrative Professional certification or equivalent;
Experience working in higher education providing administrative support at the senior management level.
