Position specific responsibilities and duties will include, but not limited to:
Primary duties are responsible for day to day operations of the mailroom. Receive and send regular mail, FEDEX , certified mail and UPS mail.
Must be able to lift at-least 40 pounds to place boxes on carts.
Facilitate mass mailings. Ability to operate a Pitney Bowes mail machine. Order postage supplies.
Complete monthly reports for usage of tracking funds & spending on postage and UPS accounts.
Manage a fleet of 25-30 car pool vehicles to include scheduling service requests, tracking vehicle maintenance, maintaining service records, scheduling state inspections, facilitate usage of state vehicles for VDOT staff. Responsible for tracking & distribution of parking stickers.
Other duties include but are not limited to relieving the front desk receptionist for lunch and/or breaks. Ability to schedule conference rooms, fill in for the front desk if someone is absent. Greets visitors, handle car pool requests, drive vehicles on occasion and gas up vehicles.
Work well with team members. Additional duties may be assigned.
Must have a valid driver’s license.

Experience applying office business practices and principles to include program coordination.
Experience composing original correspondence; compile, coordinate and prepare reports.
Ability to research, gather and analyze information.
Ability to perform under pressure and meet deadlines.
Ability to handle confidential and sensitive issues appropriately.
Ability to communicate effectively orally and able to demonstrate technical writing skills.
Skill in the use of computers and software applications to include Microsoft Office.
Skill in providing and promoting good customer service to internal and external customers.
Must have a valid driver’s license.

Strong experience in providing excellent customer service and building positive relationships.
Experience serving as a receptionist.
Ability to work independently.
Graduation from high school or an equivalent combination of training and experience.
