Assistant Dean for Finance and Administration

Reporting to the Dean for the College of Architecture, Arts, and Design (AAD) and working directly with other members of college leadership, the Assistant Dean for Finance and Administration is responsible for the management, coordination, and communication of activities in the areas of financial, facility, and IT operations for the college. The assistant dean is an integral member of the dean’s executive leadership committee and serves as the chief fiscal officer for the college.

The specific responsibilities and expectations of the position include:

• Providing oversight for the fiscal operations of the college, ensuring accuracy and compliance with university, state, and federal guidelines for the efficient and effective utilization of resources.
• Providing oversight regarding communication, implementation, and evaluation of financial operations.
• Developing an annual budget and spending plan, forecasting the college's needs.
• Managing balances for all accounts and proactively identifying and proposing solutions to address budget imbalances/surpluses.
• Overseeing budget allocations to each of the four schools within the college, coordinating and evaluating resource requests, monitoring mid-year and year-end balances, and assisting school and/or college leadership in addressing financial issues in a timely fashion.
• Assisting the Dean in management analysis and planning for college initiatives and projects.
• Providing advice and training to school directors, business managers, and fiscal staff in the use of the university's finance systems and in the preparation and response to financial reviews.
• Reviewing and recommending administrative improvements needed to increase operational efficiencies.
• Collaborating with the college's HR Director regarding the financial impact of recruitment and compensation programs and other HR initiatives across the college.
• Serving as liaison to Capital Planning, Infrastructure, and Facilities (CPIF) regarding capital projects, building/facility improvements or renovations, and lease agreements.
• Providing guidance and oversight to facilities staff to ensure the health and safety of college facilities and offices including metal and wood shops.
• Managing the college’s Continuation of Operations Plan (COOP) and Emergency Action Plan (EAP).
• Overseeing the management of the college’s IT resources and operations; including maintenance and inventory of fixed assets.
• Allocating and managing annual Equipment Trust Fund (ETF).
• Managing, awarding and reconciling college scholarship funds.

• Master's degree in higher education administration, finance or a related field or bachelor’s with substantial budgeting experience.
• Demonstrated commitment to diversity, equity, and inclusion.
• Knowledge of financial, budget, and business operations planning and control.
• Proven record of academic administrative experience, including management of multi-million dollar budget(s).
• Strong analytical, organizational, and communication skills, as well as excellent interpersonal skills.
• Experience in strategic planning and policy development.
• Demonstrated ability to work independently and exercise confidentiality and good judgment when working with sensitive subjects.
• Demonstrated skill in working collaboratively within a complex organization.
• Experience with the use of information systems, including database management.
• Ability to perform a variety of complicated tasks simultaneously and to work independently in a highly visible, fast-paced, team-oriented environment.
• Ability to take an active and effective leadership role in financial matters across the college, lead new initiatives as determined by the Dean, and to take ownership and accountability for work products that require input from across a large organization.
• Ability to handle conflict and difficult situations in a professional manner, and to build consensus.
• Commitment to confidentiality and integrity, attention to detail, and accuracy in all facets of responsibilities.

• Advanced degree in business administration, accounting, finance, or related field.
• Experience working with university funding models and approaches.
• Experience working with university information and administrative systems, such as Banner.

Salary range is $115,000-130,000 per year

A hybrid work schedule of  1-2 days of remote work weekly can be accommodated following a fully onsite, onboarding period to provide the selected candidate the ideal opportunity for successful transition into the role.
