Position Summary:
The Division of Strategic Enrollment Management and Student Success’ Office of Admissions’ Associate Director for Technology oversees the strategic information technology needs to support student enrollment at VCU by providing technology planning, implementation, and support for ongoing admissions processes and initiatives.

Core Responsibilities:
Admissions Technology Oversight and Management (60%)
  • Lead a team of CRM business analysts and technology and software support staff members to oversee the use of systems and provide first-level support for all software utilized by the Office of Admissions, including the accurate collection of data for prospective students.
  • Manage and maintain data and image integrations and migrations with the University systems of record for student data and documents and bi-directional integrations with the Division of SEMSS’ Slate instances for Graduate and Undergraduate admissions.
  • Troubleshoot and resolve data and system issues in coordination with the team and Director of Admissions Operations.
  • Oversee the development, management, and deployment of admission application workflows in various admission application products to ensure consistent processes across the university.
  • Build and maintain custom online applications for use by various populations of, undergraduate, graduate, and international applicants.
  • Document the configurations and related integrations, including but not limited to data mapping, requirements, architecture diagrams, environment setup, standard policies and procedures, best practices, troubleshooting, and all specific information related to ongoing support and maintenance of the systems.
  • Escalates issues to Technology Services through support desk tickets when required.
  • Coordinates with technology services through support ticket resolution.
  • Serve as first-level support for all concerns raised by staff, collecting necessary details and triaging the request for the team.

Data Integrity and Data Management (20%)
  • Compiles and maintains data integrity for use in reporting and analysis, operations, and functional purposes, including communications, event registration, application processing and review, and decision-making.
  • Oversee extraction, transformation, and loading of bi-directional data and images between 3rd party application software systems and the student information system.
  • Work with colleagues and campus partners to resolve data integrity issues and adjusts queries and data extracts accordingly.
  • Lead the creation, review, and maintenance of queries to support admission initiatives.
  • Works with vendors of ETL software to create and remediate data loads to the University Systems of record.
  • Provide technical expertise to create queries to prepare for and generate all printed communication mail house projects and in-house mailings.
  • Create queries, reports, and data extracts for admissions processes and analytical purposes. Fulfill ad hoc requests by admissions staff.

Other Duties (20%)
  • Oversee and conduct training for new system users and publish curriculum and resources for Slate users.
  • Participate in division and office activities which occasionally require weekend work.
  • Supports office and division initiatives to ensure collaborative relationships with campus partners to ensure enrollment, retention, and success of students.
  • Other duties as assigned.

Minimum Hiring Standards:
  • Bachelor's degree in business, information systems, education or related field.
  • Three years of relevant experience including building queries to extract and transform data with two years of CRM application experience, preferably Slate.
  • Experience working in an Office of Admissions or higher education setting.
  • Demonstrated ability to supervise and lead a team.
  • Proficiency in database operations and administration.
  • Experience with ERP Systems (Banner preferred), imaging software, and data transfer systems.
  • Experience in software reporting or statistical packages such as SAS or SPSS
  • Proficiency with Microsoft Office/Google suite.
  • Demonstrated ability to lead, prioritize and handle multiple deadlines and projects.
  • Excellent technical, interpersonal, communication, and organizational skills to maintain a professional and service-oriented demeanor.
  • Must be able to work efficiently and calmly in a deadline-driven environment and cycle.
  • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.

Preferred Qualifications:
  • Master's degree in information systems, business, education, or related field.
  • Experience working with Oracle or Microsoft SQL server databases.
  • Experience serving as a Slate administrator.
  • Supervisor and/or project lead experience.
  • Project management experience and/or certification.

Other Position Details:
  • The position requires some evening and weekend work and you will be required to work some hours over the University’s winter break.
  • This position is eligible for hybrid telework arrangements with some on campus expectations.
