The University of Virginia is seeking a Business and Administrative Generalist to serve several areas to include the Office of the Executive Vice President and Chief Operating Officer, Organizational Excellence, and Economic Development. This position is responsible for local fiscal and procurement responsibilities as well as budget analysis and presentation. This position requires a solid financial background, either gained through work experience or education, allowing them to assume a wide range of duties across multiple areas, including accounting, budget, payroll, financial analysis, or purchasing. This position operates in close collaboration with the Assistant Vice President and Chief of Staff and independently, implementing financial initiatives on behalf of the units.

What you will do:
  • Develop and implement accurate, timely, and complete budget and accounting documents, spreadsheets, and templates.
  • Develop and provide financial forecasts. Reconcile forecasts to actual results. Complete all related University requirements and submittals, adhering to department and institutional standards and timelines.
  • Serve as representatives for the organization in wider institutional finance initiatives. Serve on committees and attend standing meetings. Participate in training sessions to keep apprised of changes in policy and procedures.
  • Maintain financial records for department funds, following University and departmental policies and procedures, and maintain all documentation and records to meet audit requirements.
  • Advise the Assistant Vice President and Chief of Staff and Chief Operating Officer on administrative issues; provide data analysis, research issues, draft summary documents, correspondence and briefing papers on various policy issues.
  • Operate with the authority to interpret or implement management policies or operating practices.
  • Support business operations and strategic planning with analysis and recommendations based on data.
  • Identify areas for additional funding and opportunities for improvements by conducting research, networking with colleagues, and designing and delivering recommendations.
  • Assist and advise Assistant Vice President and Chief of Staff and Chief Operating Officer during annual operating budget development cycle.
  • Oversee the preparation of purchase orders and payment vouchers. Ensure that bills are paid promptly so the department complies with the University's requirements. Responsible for resolving any discrepancies with vendors as needed. Track fund accounts, special projects, or tasks to ensure appropriate entries are made and monitor the account balances.

Required Qualifications:
  • Bachelor’s degree and at least 5 years of experience providing financial and administrative support to an organization.
  • Ability to record and report financial data clearly and accurately.
  • Demonstrate excellent oral and written communication in a range of venues.
  • Ability to clearly construct and present balance sheets, account reconciliations, and financial analysis.
  • Ability to independently interpret information and apply to daily work.
  • Ability to adapt quickly to a multi-faceted and evolving work environment.

Preferred Qualifications:
  • Working knowledge of University, state, and federal financial policies and regulations.
  • Working knowledge of Workday (Financial and HR).
  • Ability to summarize and synthesize data, and a strong understanding of higher education policy issues.
  • Understand and forward the role of finance in supporting the University's educational mission, strategic aims, and programs.

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
