Job Duties

Job Summary - The Pittsylvania County General District Court Clerk is the Chief Administrative Officer for the Court and is responsible for the management and application of court resources. Although the Chief Judge of the district has legal authority over staffing decisions, the successful Clerk will meet the expectations of the Presiding Judge of Pittsylvania County, from whom the Clerk will receive regular supervision and guidance. The Clerk operates under policies and procedures established and/or monitored by the Supreme Court of Virginia’s Office of the Executive Secretary (OES). The Clerk’s responsibilities are broad, and include financial performance, staffing, budgets, efficient caseload processing and service to the public. The Clerk will also be expected to perform “hands-on” clerical duties.

Essential Duties - The Clerk’s core goal is to ensure accurate, fair and efficient service to the public and to those who interact with the court. The Clerk shall ensure the successful implementation of applicable policies and wisely balance among staff the demands imposed upon the Clerk’s Office. The Clerk’s managerial duties include the hiring, training, scheduling and evaluation of deputy clerk personnel. The Clerk helps ensure compliance with applicable employment-related laws and regulations. Because one aspect of the position is the preparation of a budget and the assurance that financial procedures are strictly followed and in compliance for audit purposes, the Clerk should have a basic understanding of accounting. The Clerk must ensure the proper filing and storage of court documents in compliance with applicable guidelines and statutes. Further, the Clerk shall ensure that data is timely and accurately transmitted to OES. The Clerk shall help ensure the Clerk’s Office is properly equipped with equipment and supplies and staffing.

Minimum Qualifications

The selection of a Clerk focuses on multiple factors. Although candidates with a college degree may be preferred, it is not a requirement for the position. Experience in the judicial arena is preferred, but other experience in a business or office-related setting is also helpful, particularly if that prior experience was a supervisory or management role. The ability to communicate effectively is critical, as well as the ability to ensure a high degree of organization within the office. The Clerk must possess an ability to process and interpret complex circumstances to determine, independently, the appropriate course of action under standard or accepted practices. The Clerk must have an ability to direct court operations with a high degree of judgment, understanding, and confidence.

Additional Considerations

The Clerk must be able to proficiently use computers and various software-related applications.
