General Description: The Executive Assistant reports directly to the Chief of Staff and provides high-level comprehensive administrative support to the Office of the President.
Duties and Tasks:
Addresses concerns and requests referred to the Office of the President by students, faculty, staff, and members of the community by responding or referring to the appropriate person.
Supports the President by performing day-to-day operations, including purchasing and budget management, event planning, and recording minutes.
Supports the Presidential Scheduler to coordinate the President's calendar and prioritizing meetings and schedule changes.
Compiles and manages expense reporting and monthly budget reporting.
Tracks all signature items, and maintains and updates documents on the internal SharePoint drive.
Ensures operation of equipment in the Office of the President.
Supervises part-time staff and student workers, as needed.
Collaborates with other executive staff and assists other team members, as needed.
Assists in the planning and execution of various college-wide events, as needed.
Assists with daily communications to include inbox messages, as needed.
Minimum Qualifications:
Required KSAs:
Ability to establish priorities, work under pressure, and build effective working relationships.
Ability to balance multiple and competing priorities.
Ability to edit correspondence and documents.
Respect for confidentiality of sensitive materials, independent judgment, and discretion.
Strong written and verbal communication with excellent customer service and organizational skills.
Proficient in Microsoft Office (Outlook, Word, Excel, Teams, and PowerPoint), Adobe Acrobat, and Zoom.
Required Qualifications:
Associate's degree in Business Administration or related field or equivalent combination of education, training and experience.
Significant relevant professional experience working and providing administrative support to a senior-level executive in a fast paced environment.
Some supervisory experience in a clerical or administrative position.
Preferred Qualifications:
Bachelor's degree in Business Administration or related field.
Supervisory experience in supporting a senior level executive at an institution of higher education.
