About the Position:

The Academic Standards Coordinator provides substantive administrative support to the Academic Standards Office and serves as the records administrator, ensuring compliance with policies and facilitating effective case management.

Responsibilities:

Administration & Customer Service

  • Communicates and interacts clearly and professionally with students, parents, faculty, and guests about Academic Standards policies and processes;
  • Develops effective relationships with academic departments to enhance information exchange and collaboration;
  • Responds to inquiries from students and stakeholders regarding the Academic Standards process while maintaining FERPA compliance;
  • Exercises sound judgment on how and when to refer those in need of assistance to appropriate staff members; and
  • Responds professionally and appropriately in potentially difficult situations involving issues of student conduct, crisis/emergency situations, challenging parent/family and student interactions. 

Case Management

  • Serves as the Database Administrator for case management software, managing upgrades, issues, and feature requests in collaboration with the vendor;
  • Audits ongoing cases, tracks sanctions, schedules hearings, and manages document exchanges to facilitate timely case resolution;
  • Oversees case adjudication, ensuring accurate data entry and compliance with Freedom of Information Act (FOIA) requests; and
  • Maintains and manages the online shared drive, purging files according to retention requirements. 

Office Support

  • Provides front desk support and assists with marketing and outreach efforts for the Academic Standards Office;
  • Assists in revising office documents, including the Academic Standards Code and marketing materials;
  • Produces and disseminates reports based on case audits and metrics for assessment purposes; and
  • Completes revisions of office documents as needed to ensure accuracy with policies. 

Metrics, Reporting, and Data Upkeep

  • Develops and maintains reports for Key Performance Indicators (KPIs), performing monthly audits of cases and sanctions;
  • Submits thorough monthly audits and reports to the supervisor for review;
  • Ensures timely records retention and destruction according to university policies; and
  • Monitors and completes department purchases and reconciles P-Card and eVA purchases on a monthly basis. 

Required Qualifications:

  • High school diploma or equivalent;
  • Prior experience in administrative assistance with a focus on confidentiality and professionalism;
  • Experience coordinating schedules and maintaining calendars;
  • Knowledge of how to problem-solve;
  • Organizational skills, including attention to detail;
  • Ability to multitask and complete projects on time and meet deadlines;
  • Ability to efficiently utilize databases and software applications (e.g., Microsoft Office);
  • Ability to communicate effectively in both written and verbal forms and actively listen to concerns;
  • Ability to communicate and interact clearly, professionally and appropriately with individuals at all levels;
  • Ability to handle sensitive information professionally and in compliance with FERPA confidentiality regulations;
  • Able to provide effective customer service to a diverse range of individuals and stakeholders;
  • Ability to effectively manage multiple projects and requests from various stakeholders;
  • Ability to adhere to policies and procedures and provide exceptional administrative and programmatic support; and
  • Demonstrated technical proficiency and ability to learn and use databases proficiently in support of office operations.

Preferred Qualifications:

  • Bachelor’s degree in related field;
  • Experience with Conduct Management databases;
  • Experience with budget reconciliations;
  • Experience working with diverse student populations and families;
  • Prior experience in Higher Education Administration; and
  • Familiarity with case management and university software systems (e.g., Ellucian Banner, eVA procurement system, travel request system, Bank of America Works, etc.).
