Position Summary: The Department of Internal Medicine, Division of Cardiology is searching for an administrative professional for the position of Financial Specialist. As a member of the Division of Cardiology and Pauley Heart Center’s administrative team, the selected candidate will be collaborating with faculty, study teams, and the research admin team. The position will provide fiscal and administrative support through procurement, financial transactions, fixed asset management, and invoice reconciliations.

Core Responsibilities:
Accounting & Fiscal Functions (40%): -Promptly and accurately process financial transactions. -Monitor appropriate spending of Cardiology funds, maintain awareness of programmatic issues, and escalate any potential problem areas. -Maintains current knowledge of state, University and School policies, and applies these policies accurately to all fiscal transactions, maintaining proper documentation for audit trail. -Produce accurate and timely reports for leadership. -Processing research clinical trial invoices and making sure payments are correct.
Procurement Services (20%): -Manage purchasing activities for the Division and processing invoices generated for researchoperation while adhering to -University Procurement Services’ policies and procedures. -Follow up as needed to ensure timely requisition receiving and payment of invoices. -Responsible for timely review and sign-off of purchase card transactions as a card holder in the Department using the Bank of America Works website. -Process research study patient payments.
Travel and Reimbursement (20%): -Create travel pre-authorizations and reimbursement requests in Chrome River within established state, university and institute travel policies and procedures. -Provide training to faculty and staff with travel guidelines and funding for travel. -Maintain current knowledge of state, University and Department policies and procedures and apply these accurately to all transactions
Administrative Duties (20%) -Serve as the fixed asset custodian and maintain records for the Division of Cardiology and Pauley Heart Center -Engage in the ARMICS (internal control) process on behalf of the Division of Cardiology -Facilitate processing volunteers and visiting scholars in the hospital and within VCU labs. -Function as an enthusiastic, positive member of the team, with a strong focus on customer service and meeting the needs of stakeholders. -Develop effective working relationships with units internal and external to the Division of Cardiology and Pauley Heart Center -Submit ticket requests for all security clearance on all buildings for new employees, volunteers, and visiting physician scholars.
Minimum Hiring Standards: Bachelor's degree and 1 to 3 years in administrative support role preferably with financial experience or equivalent combination of education, training, and experience Working knowledge of Microsoft Office Suite (i.e. Word, Excel, PowerPoint) Demonstrated ability to prioritize and manage a variety of projects and to problem solve as needed. Ability to work successfully as part of a team and a desire to grow and learn within the role. Experience working in and fostering a diverse and inclusive work environment or the commitment to do so as an employee at VCU.
Preferred Qualifications: Demonstrated ability to accurately execute financial transactions and review data. Experience supporting research grant finances. Experience with accounts payable, corporate purchasing cards, and travel reimbursements. Experience using VCU systems including Banner, OnCore, Realsource, and the Research Billing Portal Possess excellent oral and written communication skills.

Typical Schedule: Monday - Friday, 40 hours per week. This position is in-person at the MCV Campus - West Hospital (Richmond, VA). The position is eligible for a limited hybrid work schedule once training is complete and approved by the supervisor of this role.
