Position Summary
Assist in all fiscal areas of the Division including budget, financial and contractual needs, and sponsored programs. Reconcile accounts (VCU, MCVP, MCVF), maintain accounting records, process travel, manage fixed assets, and handle other duties as needed. Must possess superior administrative and organizational skills with an ability to prioritize and be flexible when urgent situations arise and have excellent Microsoft Office skills, specifically in Excel, Word and PowerPoint. This includes responsibility for Clinical Trial Administrative Oversight,Fiscal Account Maintenance , Purchasing, and Office/other related Responsibilities.
Required Duties: Include and are not limited the following:
- Maintain a high-level knowledge in areas related to research finance, procurement, travel, reimbursements, Banner finance, and other appropriate fiscal areas - Oversee fiscal maintenance of clinical/industry trials - Collaborate with clinical trial coordinators on study budgeting, purchasing, accounts payable and re-budgeting - Develop payment tracking and expense reports for studies - Develop payment tracking and expense reports for studies - Manage, monitor, reconcile, and maintain operating and MCVF accounts - Verify and reconcile all assigned Banner accounts on a monthly basis and distribute divisional reports to Principle Investigators and Division Administrator to review - Prepare financial reports and analyses with extreme accuracy - Reconcile external reports to internal records and investigate variances - Follow up with responses from General Accounting to ensure that appropriate adjustments are made to departmental accounting records - Prepare budget allocations, list of committed expenses and any documents needed to resolve discrepancies that will interfere with accurate closeout - Manage purchasing activities of Division including communicating with internal and external vendors/partners, processing invoices, and purchasing goods/services for Division - Lead electronic Pcard reconciliation process - Serve as backup timekeeper for Division - Maintain fixed asset records for Division, serving as fixed asset contact - Serve as Banner proxy for Division
Required Education and Experience
- Bachelor’s degree, or equivalent experience, training, and education. - 1-3 years relevant experience - Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU
Preferred Qualifications: Prior experience with Banner Previous knowledge of University processes
Physical and Cognitive Requirements
Light lifting (less than 20 lb), fast pace, multiple stimulation, intense customer interaction, frequent change, memory, reasoning, hearing, reading, analyzing, logic, and verbal and written communication
