The Role.

We are looking for a Grants and Contracts Administrator or a Senior Grants and Contracts Administrator to join our dynamic Research Operations team, the administrative division of BI.

This role is available for in-person, hybrid, or remote work.

Focused on pre-award administration, this role contributes to the daily operations of the Institute’s Grants and Contracts team by supporting our multi-million dollar grant funded research portfolio and managing different program elements for research support. Working closely with the faculty, the administrator is responsible for good stewardship over the Institute’s research funding as well as providing high-quality customer service to all internal and external partners.

The role will be varied and challenging, including tasks such as:
  • Analyzing and interpreting agency requests for proposals to determine eligibility requirements and submission guidelines.
  • Advising faculty in the preparation and submission of proposals to a variety of sponsors in accordance with funding agency policies and the fiscal soundness of grant-supported centers.
  • Reviewing all known contract requirements noted at the proposal stage and secure additional university approvals from appropriate departments when necessary.
  • Interacting with Principal Investigator(s) in preparation of the grant proposals.
  • Developing accurate and justifiable proposal budgets with Principal Investigator(s).
  • Administering all components of the grant proposal ensuring it follows University, State and Sponsor guidelines.
  • Obtaining all required internal institutional documentation supporting each grant proposal.
  • Securing subcontract documents and commitments of all involved parties. Assisting Principal Investigator(s) and research staff with submission of just in time requests, progress/final reports, and non-funded agreements.
  • Maintaining complete and accurate file information.
  • Other duties and special projects as assigned.


Requirements.

For the Grants and Contracts Administrator role:
  • Bachelor’s degree with at least three years of grant and contract experience. Four additional years of experience may be accepted in lieu of a degree.
  • Certified Research Administrator (CRA) certification is preferred.


For the Senior Grants and Contracts Administrator role:
  • Bachelor’s degree and at least five years of relevant experience in grant and contract administration experience.
  • Four additional years of grants and contracts experience will be considered in lieu of a degree.
  • Certified Research Administrator (CRA) certification is preferred.


For both roles:
  • High level of professional judgment with strong work and the ability to prioritize.
  • Flexibility with activities that may have competing deadlines.
  • Effective communication on all levels of personnel both within and outside of the University.
  • Collaborative work ethic and comfort in a team science environment.
  • Demonstrated agility in learning new skills and adaption to change.
  • Ability to interpret complex guidelines, provide specialized grants and contract advice, and align the program with federal, state and University policies and regulations.
  • Experience working with federal sponsors including NSF and/or NIH is ideal.
  • Experience on large proposals with multi-PI, multi-institute proposals or consortiums is highly valued.
  • Experience with financial and/or post award matters or experience working with complex federal sponsors such as DoD, DARPA, DOE and unique industry sponsors is also valued.

MINIMUM REQUIREMENTS

PHYSICAL DEMANDS

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
