The University of Virginia Department of Neuroscienc e within the School of Medicine seeks to hire an Intermediate Administrative Coordinator to perform administrative and fiscal functions and operations supporting our department's mission.

Intermediate Administrative Coordinators perform operational support for a composite of several functions including fiscal administration, procurement, human resources, academic support, student services, communications, grants administration, and other administrative functions. They are distinguished from Administrative Coordinator by increased complexity of work, level of supervision received, and degree of autonomy. At the Intermediate level, they work independently and participate in the planning and execution of departmental policies and procedures and serve as subject matters experts for administrative functions.

The successful candidate will:
  • Perform all duties of an Administrative Coordinator.
  • Support the ongoing administrative functions and operations, including special projects of an organization. May support a unit head, as part of their composite services. Perform a variety of duties requiring an understanding of organizational operations, organizational procedures, and personnel.
  • Formulate decisions and make recommendations regarding planning, organizing, and scheduling work.
  • For fiscal support, may perform basic budget projections, run fiscal reports, monitor fund balances, and work with account owners to stay within budget. May perform accounts receivable and cashiering functions.
  • For grant administration, may provide administrative support for pre- and post-award.
  • For academic and student support, may communicate with students regarding academic policies and procedures, provide information on course content and availability, and coordinate activities and events for student programs.
  • For human resources, may provide process support to search committees and coordinate successful onboarding of new employees. Prepare new hire paperwork and visa documents. Collect and verify employee payroll and timekeeping records.
  • Answers general questions from employees and refer human resources questions to the appropriate experts.
  • In addition to the above job responsibilities, other duties may be assigned.


MINIMUM REQUIREMENTS:

Education: High School Diploma
Experience: At least four years of experience
