The Department of Neurosurgery at the University of Virginia School of Medicine seeks applications for an Intermediate or Senior Administrative Assistant.

An Intermediate Administrative Assistant perform clerical and administrative work to support a single person, a group of people, an office, or a program. They work under the general direction of a supervisor, and have a demonstrated capacity to work independently as well as the authority to make decisions based on standard operating procedures and policies, or per the guidance of leadership. They may have latitude to set procedures to accomplish work tasks.

Senior Administrative Assistants provide clerical and administrative support for a single person, a group of people, an office, or a program. They are responsible for the same duties as an Intermediate Administrative Assistant, however, they operate with additional authority, independence, or level of complexity. Along with setting up procedures to accomplish work tasks, Senior Administrative Assistants may establish office procedures, and ensure implementation. Senior Administrative Assistants may lead, train, and serve as subject matter experts to other administrative support staff. May supervise students and other support staff.

The successful candidate will be expected to:

  • Assist 7 neurosurgeons and their support staff with administrative needs.
  • Manage calendars and coordinate travel arrangements and reimbursements.
  • Assist with coordination of educational conferences, including serving as point person on weekly tumor board.
  • Serve as Fellowship Coordinator for one or more fellowships.
  • Assist with processing of visas, observers, and other credentialing.
  • Transcribe notes and letters, including from film conference and other administrative transcription.
  • Assist with data entry in databases.
  • Monitor and order supplies.
  • Complete special project.


Minimum Qualifications :

Intermediate Administrative Assistant

Education: High School Diploma
Experience: At least one year of relevant experience

Senior Administrative Assistant

Education: High School diploma. Bachelor's may substitute experience.
Experience: Four years of relevant experience. Bachelor's degree may substitute for years of experience.

Location : Hybrid locate d in Charlottesville, VA .

A nticipated S tart D at e: December 2024 /January 2025

Anticipated Hiring Range : Intermediate Administrative Assistant - $45,000-$53,000, Senior Administrative Assistant - $55,000-$63,000 .

Position Type : This is a Non-Exempt level, benefited position.
