The Weldon Cooper Center for Public Service at the University of Virginia (UVA) seeks applications for Leadership Development Operations Coordinator. The Cooper Center serves localities in the Commonwealth in the context of a complex 21st century in which civic challenges are interconnected and problem-solving requires engaged communities and collaboration across traditional boundaries. Comprised of five teams to deliver its public service mission through three broad areas of work: applied research, leadership development, and local government support and engagement.
The Leadership Development Operations Coordinator will provide various administrative and logistical support to the Virginia Institute of Government (VIG) team and reports to the assistant director of leadership development. The leadership development operations coordinator assists with the operations of Leading, Educating, and Developing (LEAD), the Senior Executive Institute (SEI), and other professional development programs. The incumbent will serve as the primary support staff to the Virginia Local Government Management Association (VLGMA) and coordinates their events. VIG is part of the Weldon Cooper Center for Public Service at the University of Virginia.
Responsibilities:
Provide assistance with pre and post operations of the onsite LEAD and SEI programs, virtual program operations, and other professional development training programs offered by VIG.
Assist with marketing and recruiting efforts for potential program participants.
Coordination of the VLGMA winter and summer conferences including arranging travel for speakers, confirming hotel arrangements, planning meals, acquiring AV equipment, ordering supplies, maintaining financial records/budget, making rooming arrangements, processing registration forms, liaising with conference facility, and on and off-site material preparation. Attend sessions to handle registration, materials distribution, and to act as the contact for the conference facility.
Prepare VLGMA Newsletter for monthly distribution via Constant Contact software including gathering articles, designing layout, editing and occasional creation of articles. Handle updating and creation of records for VLGMA database and website. Responsible for regular VIG and VLGMA website updates.
Coordination for various VLGMA committee meetings, including professional development, civic engagement, communications and networking, and deputies/assistants committees. This includes planning meals, acquiring AV equipment, ordering supplies, maintaining financial records/budget, making rooming arrangements, liaising with meeting facility, and on and off-site material preparation. Attend sessions as needed to handle materials distribution, minute taking, and to act as the contact for the meeting facility. Professional development committee responsibility includes repository of all historical data relating to conferences and closely working with association conference chairs to design and execute events.
Additional responsibilities include managing annual association leadership transition and other general duties such as reminders, email blasts, and executive secretary back-up.
In addition to the above job responsibilities, other duties may be assigned.
Minimum Qualifications:
Bachelor’s degree in a related field
At least three years of experience in an administrative support and/or event planning role; relevant experience may be considered in lieu of a degree
Excellent communicator
Self-starter with strong problem-solving skills
Ability to multitask and prioritize
Capacity to work independently
The ability to attend o ccasional onsite programs that may include some weekends and nights
Strong commitment to customer service and servant leadership
Preferred Qualifications:
Experience planning and organizing both in person and virtual conferences and/or training programs
Experience supporting professional development programs
Experience providing administrative support to a professional association
Experience working with databases
PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. There is an occasional need to move as much as 20 pounds, this can be broken into smaller amounts and moved as well. The job does occasionally require traveling some distance to attend meetings, conferences, and programs.
This position is located in Charlottesville, VA.
