Job Duties
•Enters purchase information into the electronic virtual assistant (e-VA) system.
•Provides administrative support for basic schools.
•Prepares reports, letters, purchase orders, invoices, and related training correspondence.
•Reviews/tracks all purchase orders.
•Assists with archiving duties regarding various documents into the Perceptive system to include scanning, indexing, and filing.
•Manages the supply room and replenishes items as needed.
•Completes Academy staff vehicle expense reports.
•Schedules classroom and lodging for Department and outside agency training.
•Properly documents projected meals and collects fees related to classroom, lodging, and meals. Reviews, analyzes, and responds to inquiries for availability of Training Division facilities.
•Prepares logistical related reports.
•Designs and composes training aids, manual covers, and certificates through the use of various computer software.
•Assists other Training Division clerical staff as needed with manual revisions, preparation of lesson plans, and correspondence.
•Handles other assigned tasks as required by supervision.
•Performs all duties with positive and supportive attitude.
•Reports to work on time and ensures regular attendance.
•Demonstrates a positive and professional demeanor and working relationship with management, co-workers, Department employees as well as outside agencies.
•May be required to perform other duties as assigned.
•May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
Minimum Qualifications
•Working knowledge of office practices and procedures; and knowledge of proper English grammar, spelling, and punctuation.
•Skill in operating computers and using Microsoft Office applications (i.e., Word, Excel, PowerPoint) for the purposes of typing, data entry, drafting, and producing various documents including certifications, presentations, reports, and visual training aids.
•Demonstrated ability to scan, index, and file documents in electronic automated and manual file systems; and the ability to coordinate and schedule classrooms and lodging arrangements.
•High School Diploma or GED.
•Administrative experience that involves supporting an agency programmatic function preferred.
•An equivalent combination of training and experience indicating possession of the preceding knowledge, skills, and abilities may be substituted for this education and experience.
