Longwood University invites qualified applicants to apply for the position of Part-Time Travel Reimbursement Clerk (T0461) in Accounts Payable. The successful candidate must be detail-oriented and dependable as this position plays an important role in supporting the university's compliance with Commonwealth of Virginia travel regulations and institutional policies. The primary responsibility of this role is to audit and process employee Travel Expense Reimbursement Vouchers (TERVs) in a timely, accurate, and customer-focused manner.

This position is located in Farmville, Virginia, and is required to work in person on Longwood University's campus.

Essential Responsibilities and Duties:
  • Audit travel reimbursement submissions for compliance with the Commonwealth of Virginia's Travel Regulations, IRS requirements, and institutional policy.
  • Review supporting documentation for accuracy, completeness, and appropriate approval.
  • Ensure travel expense claims are properly coded to the correct fund, organization, and account in accordance with university and state guidelines.
  • Communicate promptly with employees or departmental representatives to resolve discrepancies or obtain missing information.
  • Maintain audit documentation and prepare reports as required.
  • Monitor recurring issues and assist with employee training and outreach to promote policy compliance.
  • Collaborate with other accounts payable staff to ensure consistent application of travel rules and best practices.
  • Willingness and ability to be flexible as duties and business processes evolve and change.
  • Optimistic and supportive of established procedures while improving processes and efficiencies.


Job Requirements:
  • High school diploma or equivalent.
  • Proficiency with Microsoft Excel, Word, and financial software systems.
  • Ability to work independently and handle confidential information with discretion.
  • Experience in accounts payable, travel reimbursement, or financial auditing or similarly related business processes.
  • Strong analytical, organizational, and time management skills.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to exercise initiative and judgment consistent with university mission, values, and policies.
  • Demonstrated ability to provide excellent customer service to various constituencies such as faculty, staff, students, and the public.
  • Familiarity with Commonwealth of Virginia travel and state reimbursement regulations preferred.
  • Prior experience working in a public higher education institution in the state of Virginia or other state government setting preferred.
  • Knowledge of Banner, Cardinal, or other enterprise financial systems preferred.


Additional Information:

This is a part-time, non-exempt, temporary wage position in pay band 4. Hours worked will vary based on need, but will be limited to an average of 29 hours per week and 1,500 hours maximum per work year. Commonwealth of Virginia benefits do not accompany this position.
