The PhD Program Coordinator for Business Information Technology Department Provides full administrative support for the Business IT PhD Program. Duties include Serving as the first point of contact for the PhD Program, scheduling meetings with students, faculty, staff, administrators, and prospective PhD students. Arranging travel for potential students, external speakers, and visitors, processing reimbursements for travel, food, hotel accommodations. Promoting and recruiting for the program, maintaining marketing materials, processing graduate applications utilizing Slate, oversees the onboarding of PhD students into the program. Enters graduate plans of study and ensures other graduate school requirements are met by the students. Purchasing and maintaining office supplies, promotional materials, software, etc., for students utilizing Hokiemart. Provides Assistance with PhD Curriculum governance, interfacing with the college representative and university in working new seminars and updated seminars through governance.
Assists with the facilitation of annual orientation and other Ph. D. student training.
Maintains email lists, contact information, student information database, and necessary digital forms
Experience providing administrative support in a professional or academic setting.
Demonstrated proficiency with computer applications such as Word, Excel, Outlook, Google Docs, and Google Calendar.
Experience making travel arrangements.
Excellent organizational skills.
Ability to work independently within a fast-paced environment.
Knowledge of University Policies and Procedures
Extensive Knowledge of the Slate System.
Experience with HokieMart.
Experience with Banner, Banner Finance and Banner VTF Systems.
Experience with Hokie Spa.
Working knowledge of university fiscal and research policies, procedures, and regulations.
Commensurate with experience
The successful candidate will be required to have a criminal conviction check.
