Position Summary:

The VCU School of Business invites talented and qualified applicants to apply for the position of Program Coordinator. The School will be hiring two candidates to fill two Program Coordinator roles. The Program Coordinator position administratively supports several academic units within the School of Business providing planning, organizational, and coordination support for the various functions of the unit. Through assistance provided to department chairs, faculty and students, the program coordinator facilitates achievement of the academic goals of each unit and the School of Business. The Program Coordinator must carry out these responsibilities accurately and professionally, exercising discretion and independent judgment with minimal supervision.

Duties & Responsibilities:

Responsibilities include, but are not limited to:
  • Coordination of departmental meetings and internal events
  • Function as the departmental point of contact for students, prospective students, and faculty
  • Ensure department(s) are staffed during business hours
  • Facilitate timely and accurate communication between faculty, students, the department chair and other units within the school; this includes tasks such as textbook orders with faculty, sending departmental communications, and ensuring the expressed needs of students are matched with appropriate resources.
  • Ensure departmental operations run smoothly; coordinate workloads of student workers as needed.
  • Perform fiscal functions such as purchasing materials, coordinate faculty and student travel, submit reimbursements, and reconcile financial transactions; interface with the school’s finance team when more complex transactions are required. Ensure that all transactions are processed in compliance with university policies and applicable federal, state, and local laws.
  • Provide expense tracking and reporting to the department chair to assist with budget management
  • Facilitate execution of adjunct faculty contracts in partnership with department chairs and Human Resources
  • Support of school-wide events as part of a team when requested
  • Perform other administrative responsibilities aligned with the goals of the School of Business.

Minimum Qualifications:
  • Excellent problem solving, organizational, and time management skills.
  • Ability to apply knowledge of programs, operations, and administrative policies and procedures to maintain or enhance the department's operating efficiency.
  • Communication and interpersonal skills that lead to successful interactions with students, faculty, administrators, staff, and the general public, as required to coordinate activities and solve problems.
  • Ability to execute detailed administrative work in a timely and accurate manner, while maintaining confidentiality and integrity in all areas, but especially in those of finance and personnel administration
  • A commitment to customer service and the ability to create a positive and inclusive environment for our faculty, staff and students.
  • Ability to function well in a complex, fast-paced, multi-task work environment that may present conflicting deadlines.
  • Ability to learn and use a variety of computer programs, internet software, and office applications, such as Microsoft
  • Ability to provide clear communication, direction, and efficient priorities to student assistants performing various administrative duties.
  • Ability to plan special events for the department, or to support special events led by central units, such as student success or enrollment management.
  • Demonstrated experience in fostering and advancing a diverse, inclusive and equitable environment or commitment to doing so as a member of the School of Business and staff-person at VCU.
  • Flexibility to work occasional evenings or weekends to support events (significant notice given).

Preferred Qualifications:
  • College-level coursework in a business-related field.
  • Prior experience in an administrative or support position or relevant work experience in a university setting.
  • Experience with higher education, governmental, or corporate financial systems for purchasing and procurement is preferred.
  • Proficiency in Microsoft office applications and/or Google Workspace applications.
