Job Duties
This is a part-time position, averaging around 29 hours per week M-F during business hours, with no benefits.
This position will provide technical and administrative support to the Assistant District Administrator for Planning and Investment Management and sections within. Analyze operations program plans and produce reports. Monitor and manage data related to programming and projects in various systems. Coordinate with program leads and project managers to maintain and update program and project data. Initiate and request fund transfers between projects.
Prepare data and reports for program meetings.
Analyze federal strategy and prepare status reports. Assist with special-funded programs. Provide assistance in preparation of the need based budget. Reconcile project expenditures and prepare data for journal voucher corrections. Research project financial data. Provide guidance on proper coding of project expenditures. Prepare operations responses to Federal Integrity Review and Evaluation (FIRE) requests. Monitor project closeout database and coordinate reviews. Coordinate and conduct project reviews.
Specific duties include:
Providing Financial Information reports from Cardinal and other Data Base Systems.
Monitor and capture performance metrics.
Assist with general electronic record keeping and file maintenance
Prepare and process financial data for projects and program invoices
Prepare draft letters or agreements for a variety of programs.
Collaborate with staff to maintain data collection.
Support staff for training, public meetings, presentations, etc
Support with administrative responsibilities to include budget development and monitoring, Right of Way Surplus circulation, bicycle lockers rental, etc.
Support promoting and marketing efforts related to Traffic Demand Management and other programs.
Minimum Qualifications
Experience in office management and business events coordination.
Experience monitoring, analyzing and reconciling financial data.
Understanding of interrelationships between project data specifics, schedules, budgets, appropriations and programmed funds.
Ability to communicate effectively orally and in writing with internal and external customers.
Ability to manage multiple tasks simultaneously.
Skill in the use of computers and software applications to include powerpoint presentations, databases, program management
software.
Preferred Qualifications:
Experience in the transportation industry.
Familiarity of federal, state, and local transportation laws, regulations, policies and operations.
Ability to analyze financial data, work with detailed numerical data and generate reports.
Degree in financial management, business or communications related fields; equivalent experience or training may substitute for degree.
