The University of Virginia Darden School of Business seeks a
Recruiting Coordinator to join its Career Center . We are seeking a highly organized and detail-oriented professional to join our dynamic Recruiting Operations team within the Career Center. Reporting to the Director, Recruiting Operations, the Coordinator will play a crucial role in supporting the recruiting process and events for our MBA students and employer partners. This position is ideal for an individual who thrives in a fast-paced environment and understands the importance of creating a seamless and positive recruiting experience. The coordinator is responsible for managing job postings, maintaining accurate data, coordinating interview schedules, and managing recruiter relationships with a small set of employers.
This is an in-office position based at Darden’s Goodwin Family Grounds in Charlottesville, VA. Occasional evening and weekend work during peak recruiting seasons may be required.

About the Career Center:The Career Center provides over 1,200 graduate business students (Full-Time MBA, Part-Time MBA, Executive MBA, and MS in Business Analytics) with one-on-one professional career advising, lifelong career management skills, and exceptional internship/post-degree job search support. We engage hundreds of companies that recruit and hire Darden talent across various industries.
Responsibilities: Recruiting Coordination :
- Coordinate and schedule recruiting engagements, such as reserving rooms and coordinating with hospitality and parking.
- Assist with on-campus and virtual recruiting engagements, including company presentations or briefings, networking events, and interviews, ensuring a smooth process for Darden students and employers.
- Manage event logistics, including room setup, audio-visual equipment, catering, and materials preparation.
- Manage event registration and track attendance.
Job Postings and Data Management :
- Create, approve, and publish job postings, proactively managing the full lifecycle of postings in our career management systems (GradLeaders and 12twenty). This includes strategic outreach to employer contacts to gather detailed candidate profile insights, ensuring job postings effectively target and attract Darden talent.
- Maintain accurate and up-to-date employer and job data within the career management systems.
- Troubleshoot and resolve issues related to job postings or data entry.
Operations and Administrative Support :
- Assist with the management of the master recruiting calendar, ensuring alignment with academic and program schedules.
- Support the Career Center facilities, ensuring supplies are available, assist with student room reservations, and maintain the career center interview rooms.
Employer and Student Support :
- Collect and organize feedback from employers and students to improve recruiting processes.
- Respond to general student and employer outreach in our recruiting email inbox.
Employer Relationships :
- Manage a small set of employers, serving as the primary point of contact for their recruiting needs.
- Build and maintain positive relationships with recruiters from assigned companies.
- Communicate proactively regarding recruiting events, interview schedules, and other relevant information.
Education and Professional Experience:
- Bachelor's degree and at least one year of experience. Relevant experience may be considered in lieu of a degree.
- Experience in recruiting coordination, administrative support, or student services role, preferably within a university or corporate HR or talent acquisition setting strongly preferred.
- Strong organizational and time management skills, with the ability to manage multiple tasks and deadlines.
- Excellent communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders.
- Ability to work independently and as part of a collaborative team.
- Detail-oriented and able to maintain a high level of accuracy.
- Proficiency in Microsoft Office Suite.
- Proficiency in using career management platforms (e.g., GradLeaders, 12twenty), other recruitment tools, or applicant tracking systems preferred.
- Experience in MBA (or graduate-level) or undergraduate business recruiting preferred.
