Summary

The Office of Student Services in the College of Humanities and Sciences invites applicants to join our team to provide administrative coordinator support as a Scholarship Coordinator. The Office of Student Services in the Dean’s Office provides essential academic administration services to the Assistant Director of Student Services and all undergraduate students in the College.

Administrative Coordinators perform a wide variety of administrative, logistical, operational, and technical tasks related to operating a school, department or business unit. Their typical responsibilities may include tracking and scheduling projects; filing summary reports; archiving; communicating with vendors; managing invoices; providing responses to email and/or phone inquiries. They may work independently or as a member of a team. They work under intermittent supervision, resolving most standard issues independently and referring complex issues to an upper-level manager. Administrative Coordinators typically report to a supervisor or manager or in some areas may report to an administrator.

Job-Specific Duties

This position will be responsible for coordinating scholarship and emergency fund administration, providing support to students awarded college funds, and serving as a liaison to the Student Financial Management Center in the College of Humanities and Sciences (CHS). Individual and prompt service combined with accurate and timely processing of awards will help contribute to the recruitment and retention of talented and diverse students. The ideal candidate has a passion for supporting students to success and is looking to gain skills in student success and outcomes and financial administration while in a full time, benefited position that can provide tuition benefits.
Responsibilities include, but are not limited to, the following:
•Maintain the College’s scholarship portfolio in Opens the scholarship cycle and ensures all opportunities are updated and listed in the RAMS Scholarship Hub system.
•Coordinate the opening of applications, communications with CHS Development and Alumni Relations, departments and other College partners and stakeholders.
•Coordinate all communications related to advertisements for the College’s donor-funded student scholarship opportunities.
•Coordinate scholarship review with departments in the College.
•Act as the primary responder for all student and faculty reference and reviewer inquiries
•Works closely with the experiential review chair for the scholarship awarding process including coordinating all funding sources, their application, review and awarding.
•Coordinate all recipient confirmation and direct award processing and distribution with Office of Financial Aid and/or the Procurement Office
•Collaborate with the Associate Director of Engagement in CHS DAR for scholarship cycle summary, reporting, and news items
•Manage administration of the CHS Student Emergency Fund and General Scholarship Fund to include requests, awarding, reporting and tracking of donor funds
•Serve as front-line support for students seeking information about CHS funding opportunities
•Participate in university-wide scholarship administrator meetings as the CHS scholarship point of contact
•Serve as a liaison to the Student Financial Management Center
•Provide support to retention and student success initiatives in CHS

Typical Education and Experience

Minimum Hiring Standards :
•High school degree or GED
•Ability to communicate well via email, over the phone, and in person.
•Strong attention to detail
•Familiarity with working in Windows and Google web application environments.
•Ability to accurately record and enter data
•Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU

Preferred Hiring Standards
:
•Previous experience in financial aid or enrollment management or in scholarship administration
•Bachelor’s degree in progress or completed
•Experience working in student affairs/success, enrollment management, and/or work in other areas of higher education such as a fiscal technician role
