The University of Virginia seeks a School Certifying Official for Military Educational Benefits to join the Office of the University Registrar (UREG). UREG is responsible for maintaining the accuracy, integrity, and security of student academic records. It also advances the institution’s commitment to Inclusive Excellence by continuously considering the impact of its work on diverse communities and by attentively listening to and responding to the needs of those communities, especially marginalized communities. UREG is responsible for certifying students who are using military educational benefits provided through the U.S. Department of Veterans Affairs (VA), Virginia Department of Veterans Services (DVS), and the Department of Defense (DoD ). A member of the UREG military educational benefits team the School Certifying Official for Military Educational Benefits will support the educational success of veterans and other students using military educational benefits, serving asa resource to military-affiliated students, faculty, and staff. They also ensure compliance with the VA, DVS, and DoD.

The successful candidate will be expected to:
  • Support UREG’s commitment to Inclusive Excellence by developing a culture that is supportive, inclusive, collaborative, and healthy. Apply an equity-minded approach to every aspect of UREG’s work.
  • Serve as School Certifying Official and provide certification/compliance services and support for Academic Records
    • Assist with the certification of military educational benefits; monitor student progress and attendance; verify location of courses, audit students, and ensure enrollment dates comply with federal, state, and university guidelines.
    • Advise students on the certification process for military educational benefits and reporting requirements; research and resolve certification or payment issues.
    • Accept and analyze documentation from students regarding their eligibility for military educational benefits.
    • Respond to inquiries received via phone, mail, or email ( veteransbenefits@virginia.edu ) for all military and veteran populations.
    • Manage records retention according to federal, state, and University regulations.
    • Prepare and distribute communications to military-affiliated students regarding available services and the status of their certification. Assist in coordinating communication with the school Registrars, Student Financial Services, Office of Student Affairs, Office of Admissions, and other student success units at UVA, as appropriate.
    • Participate in monthly meetings with other school certifying officials and units to review federal and state regulations, identify potential certification issues, and organize institutional responses, as needed.
  • Support services to and on behalf of veteran students with other UVA units
    • Collaborate withuniversity military-affiliatedworking groupand other units todevelop strategiesand training programsforservingthe militarycommunityatUVA
    • Support preparation for audits by the VA and the State Approving Authority (SAA); inform university officials of scheduled audits, communicate with relevant units (including Student Financial Services, school registrar/finance teams), organize materials requested for review, and meet with auditors
  • Support UREG in providing high quality services to students, families, and the university community.
    • Share responsibility for UREG’s call center (daily, managing efforts of all other UREG colleagues) and email ( ureg@virginia.edu ).
    • Collaborate with UREG colleagues to recommend process improvements that benefit students and their families, faculty, the UREG team, and/or the university community.


Required Knowledge, Skills, and Abilities
  • Ability to communicate effectively, compassionately, and respectfully, both orally and in writing, with people from all levels and backgrounds at the University, including students, families, and faculty members, even in challenging circumstances
  • Ability to lead and manage projects and groups effectively in a decentralized environment-ability to build trusting, collaborative relationships and inspire others to work toward a common goal without needing formal authority to be successful

Required Education and Experience
  • Bachelor's degree and student records experience is required, four years of higher education or student records experience may be subsisted in lieu of a degree
  • At least one year of student records or related experience


Preferred Knowledge, Skills, and Abilities
  • 3-5 years of experience supporting higher education academic processes, particularly student records
  • Knowledge of the policies and procedures of PeopleSoft or other student information system
  • Training and expertise in diversity, equity, and inclusion (DEI)researchand practices; demonstrated success developing and applying an equity-minded framework to improve processes and policies

The anticipated start date is March 1, 2023. Anticipated Hiring Range: $50,000 - $58,000 commensurate with education and experience. This is an Exempt level, benefited position. For more information on the benefits at UVA, visit hr.virginia.edu/benefits.
