The School of Education and Human Development at the University of Virginia seeks applicants for multiple full-time Grants and Contracts Administrators or Senior Grants and Contracts Administrators to join our fast-growing Office of Research Administration team. These positions are available for in person, remote, or hybrid work, and start immediately. These are salaried positions with full UVA benefits.

Working as a member of a high functioning, interactive research administration team, the successful applicant will be assigned as lead support for a portfolio of sponsored projects for one or more of the school’s research centers or academic departments. In this fast-paced, exciting environment, the incumbent will have the opportunity to work on projects of varying scope and size funded by federal, state, local, and private foundation sponsors.

The successful candidate will primarily support post-award functions, but may occasionally help facilitate the proposal submission process. Applicants must understand sponsor requirements, Uniform Guidance, and be able to interpret guidelines for Principal Investigators and project staff with a variety of levels of experience with grants administration.

Candidates will process proposal or award amendments, communicate with sponsors as needed, and serve as the primary contact for internal and external subcontracts and sponsors. This person will also provide monthly financial summary reports to Principal Investigators and assist them in creating financial projections to ensure budgets are expended with no cost overruns.

Incumbents may perform a range of other duties within their organizations, as needed, but must possess significant expertise in grants and contracts administration.

Role and Responsibilities:
  • Manage a portfolio of awarded sponsored programs for one or more of SEHD’s research centers or academic departments
  • Provide comprehensive PI-centric monthly reporting.
  • Conduct project kick-off meetings for new sponsored programs awarded to SEHD faculty and meet with faculty in a routine cadence to summarize actual expenditures and create financial projections
  • Prepare annual and project closeout financial reports per sponsor guidelines.
  • Assist with monthly account certifications, and process vendor invoices, purchase orders, and cost transfers for multiple awards. Prepare and revise grant budgets as necessary.
  • Create and maintain payroll costing allocations for faculty and staff working on grants in assigned portfolios.
  • Submit grant modification requests.
  • Resolve problems through contact with SEHD administrators and faculty and the UVA Office of Sponsored Programs (OSP) and recommend appropriate changes.
  • Provide technical and administrative assistance to faculty and administrators in regard to sponsor regulations.
  • Maintain complete and accurate file information for grants in an assigned portfolio.
  • Occasionally help manage the grant submission process (pre-award) including, but not limited to: filling out forms, preparing letters, uploading proposal documents into sponsor portals, reviewing proposals for conformity with University, State, and Sponsor guidelines.
  • In addition to the above job responsibilities, other duties may be assigned.

Required Skills: Grants and Contracts Administrator
  • Education : Bachelor's degree
  • Experience: At least three years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree
  • Licensure : Certified Research Administrator (CRA) is preferred

  • Education: Bachelor's degree
  • Experience: At least five years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree
  • Licensure : Certified Research Administrator (CRA) is preferred

Preferred Skills

Significant preference will be given to those candidates who meet some or all preferred qualifications. Candidates are strongly encouraged to submit a cover letter detailing how their experience and qualifications align with the following:
  • Strong, demonstrated understanding of Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards (i.e., 2 CFR Part 200, commonly known as ‘Uniform Guidance’)
  • Familiarity with Workday Financials
  • Familiarity with basic accounting principles
  • Very high attention to detail
  • Demonstrated mastery of basic office software, especially Outlook, Microsoft Word, and Excel
  • Experience with Smartsheet
  • Strong desire to learn new skills and abilities and to continuously improve practices
  • Ability to manage competing deadlines and priorities
  • Excellent written and verbal communication skills
  • Certified Research Administrator credential

Compensation Information

Full-time position with an anticipated range of $60,000 - $75,000/year. Salary is commensurate with education, experience, and ability to meet minimum qualifications as outlined above; includes UVA benefits.

The position will remain open until filled. This is an Exempt level, benefited position. This position will not sponsor applicants for work visas. This restricted position is a 12-month appointment, and continuation is dependent upon project need, availability of funding, and performance. The outlook for continued funding is high given SEHD’s exceptional track record of securing external funding. The University will perform background checks on all new hires prior to employment.

Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
