The Department of Surgery in the School of Medicine at the University of Virginia seeks a Senior Administrative Coordinator. The Senior Administrative Coordinator provides operational support to Department of Surgery leadership for a composite of several functions including fiscal administration, procurement, complex scheduling, academic support, student services, communications, office and meeting space management, partnering with human resources, and other administrative functions. The Senior Administrative Coordinator demonstrates understanding of the organizational culture and business drivers and is able to anticipate team needs and expectations. The successful candidate interprets policies and establishes internal procedures across multiple functional areas and performs work tasks independently with little supervision.
Job responsibilities include:
Develop processes and procedures in collaboration with UVA Human Resources to standardize and support the hiring, credentialing, onboarding, access, and supply needs of new recruits to the Department of Surgery, creating a smooth, welcoming, and informative experience for new employees.
Oversee compliance with and documentation of employee training, immunizations, annual reviews, and other required processes.
Coordinate complex, high-level meetings for the administrative leadership team, creating agendas, presentations, and maintaining minutes.
Create and organize data, check and compare with previous reports or other data, and bring to the attention of the supervisor significant items, changes, errors or omissions.
Maintain up-to-date management manuals, directives, organizational charts and keep the department informed of changes. Set up and maintain office files and keep correspondence and reports available for reference and efficient operation of the office.
Independently generate complex and detailed presentations and reports.
Perform a variety of duties requiring a broad understanding of organizational operations, procedures, and personnel.
Interpret and communicate departmental and divisional policies and procedures, making decisions on specific operating problems and issuing instructions.
In addition to the above job responsibilities, other duties may be assigned.
Minimum requirements: Education: High School Diploma required, Bachelor's preferred Experience: Six years of experience. Bachelor's degree may substitute for experience.
This position is located in Charlottesville, VA.
