Job Description

The Virginia Tech division of Advancement seeks a dynamic, creative, and organized individual to serve as a Special Events Coordinator for the Principal Gifts Office. The Special Events Coordinator for Principal Gifts will plan a variety of events, including high-end donor centric events as well as small private dinners and will also assist with select University Advancement events. Under the direction of the Associate Director of Principal Gifts Operations and the Director of Special Events for Advancement or a designee, the individual will coordinate events involving Virginia Tech alumni, major donors and prospects, administration, and friends of the university. They will create and maintain event documentation and follow standard procedures and protocol while proactively identifying challenges and problem solving. The Special Events Coordinator will manage all logistics on assigned events, research and maintain information on invitees and participants, track attendance, manage event budgets, write correspondence, and create/design other printed materials as needed.

Required Qualifications

• Bachelor’s degree or equivalent level training/experience
• Demonstrated experience in customer/donor special events coordination, preferably in a collegiate or non-profit setting
• Demonstrated experience working with vendors and arranging for contracted services
• Excellent communication skills
• Must be comfortable working in a fast-paced environment, with the ability to make decisions quickly
• Strong organizational and project management skills, with the ability to balance multiple priorities and solve problems independently
• Demonstrated flexibility, creativity, and strategic-thinking skills with a willingness to take initiative and learn

Preferred Qualifications

• Prior experience in special event programming in a higher education setting.
• Experience with donor database systems; preferably Blackbaud AIMS
• Basic understanding of fundraising and/or donor lifecycle concepts
• Knowledge of Adobe suite programs including Photoshop, InDesign, and Illustrator
