The University of Virginia seeks a Special Programs Manager to join the University Bookstore.The Bookstore is a self-supporting, non-profit organization that receives no local or state funding and is owned and operated by the University.They are dedicated to supporting both academic programs and student life.The main Bookstore location features textbooks for all UVA classes, over 30,000 different trade books, supplies and the best UVA clothing and gifts. In addition, customers can order diploma frames, fine framed prints and chairs.The UVA Bookstore and Cavalier Computers are located across from Newcomb Hall on the fourth floor of the Central Grounds Parking Garage and are within easy walking distance of the Rotunda, Scott Stadium, and the UVA Medical Center. In addition to the main Bookstore, there are four satellite stores. TJ’s Locker is located inside the Aquatic Fitness Center directly across from the Scott Stadium. Courts & Commerce is located inside the UVA Law School and serves law students, faculty and staff.

This position is responsible for the management and over sight of the Bookstore’s Promotional Sales Department, the purchasing and execution of all aspects of seasonal events, including but not limited to, Final Exercises, Human Resources’ Awards and Medical Center Customized Lab Coats.

Promotional Sales Department
  • Trains and maintains a staff that provides exemplary customer service to ensure consistent customer satisfaction, and acts responsibly and professionally in accordance with established policies.
  • Manages 2 staff members in the Promotional Sales Department.
  • Maintains all established purchasing, invoice processing and client billing policies and procedures.
  • Performance Management (for all employees who supervise others).


Special Order Lab Coats
  • Purchases lab coats from established vendors.
  • Processes all lab coat orders received in a timely manner.
  • Identifies and communicates with client, any problems and/or questions with/about the orders.
  • Ensures all lab coat artwork is authorized and approved for use by Branding and the respective departments.
  • Ensures all are billed to the respective departments upon completion of the order.
  • Prepares all lab coat orders for delivery in a timely manner.
  • Resolves any problems and/or issues with the orders in a timely manner.


Final Exercises
  • Works with and maintains an impeccable relationship with the Executive Director and Staff of the Office of Major Events.
  • Purchases student graduate caps and gowns for Final Exercises from contracted vendor.
  • Manages budget for the purchase of graduate caps and gowns, processing invoices and credits due.
  • Works with schools/colleges on special order graduate items.
  • Processes and places orders for faculty, PhD, or school/college rentals, meeting established deadlines.
  • Resolves any problems/issues with an order in a timely manner.
  • Prepares for and executes Grad Fairs.
  • Prepares for and executes ticket distribution for Final Exercises.
  • Prepares and returns all graduation and rental items after Final Exercises.
  • Ensures proper credit is received for returned items.


Human Resource Awards
  • Works with the HR Department to establish product selection for awards based on employee years of service
  • In conjunction with HR, establishes dates and location for order intake.
  • Purchases awards from established vendors, meeting established deadlines
  • In conjunction with HR, establishes and executes a plan for distribution of awards. Manages annual offsite award events for both medical and academic.
  • Maintains documentation and inventory for distributed and/or shipped awards


In addition to the above mentioned responsibilities, other duties may be assigned.

Qualifications :
  • High School diploma or equivalent and at least four years of retail experience required.
  • Strong leadership, interpersonal and communication (written and verbal) skills.
  • Positive and professional attitude, with the ability to work with as part of the Bookstore Team.
  • Ability to work independently, without being micro managed, once training is complete.
  • Strong customer service/problem resolution skills.


Preferred Qualifications:
  • Bachelor’s degree preferred or the equivalent of work related experience.
  • 2 -3 years in a retail management or supervisory position, with a proven history of success.


Compensation:

The anticipated hiring range for this position is $40,000 - $45,000, commensurate with education and experience. This is a full-time exempt staff position with UVA benefits . For more information on the benefits at UVA, visit hr.virginia.edu/benefits. Employee benefits package highlights include:

This is primarily a sedentary job involving extensive use of desktop computers. There is lifting requirements up to 40 pounds. Standing for long periods of time during events. The job does occasionally require occasionally weekends and traveling some distance to attend meetings, and programs.
