Job Duties
•Expectations are clear, well communicated, and relate to the goals and objectives of the Department or unit.
•Staff receive frequent, constructive feedback, including interim evaluations as appropriate.
•Staff have the necessary knowledge, skills, and abilities to accomplish goals.
•The requirements of the performance planning and evaluation system are met and evaluations are completed by established deadlines with proper documentation.
•Performance issues are addressed and documented as they occur.
•Safety issues are reviewed and communicated to assure a safe and healthy workplace.
•Employees are cross-trained or up-to-date desk procedures are available to ensure continuity of operations. Cross-training is documented.
•Supervises the shipping and receiving of supplies and equipment.
•Delegates work assignments to the storekeepers and office services assistant; and follows up to assure proper completion.
•Maintains accountability of all items received in the Warehouse.
•Ensures items received are accounted for in AIMS/Sunflower and eVA within three business days of receiving the items in the warehouse.
•Supervises the mailroom to ensure the distribution of all mail. Resolves problems and monitors work to ensure quality control and compliance with USPS, UPS, Fedex as it relates to established regulations, policies and procedures.
•Handles the issuance of Voyager cards to Department personnel. Works with Mansfield oil for the timely issuance of cards.
•Conducts inventory of all items stocked in the warehouse to assure proper supplies are available and provide accountability.
•Conducts cycle counts of inventory on a regular basis to uncover and correct discrepancies. Handles the monthly audit on firearms and Badges.
•Supervises the handling of surplus property in accordance with Department policies, Procurement policies and Surplus policy manual.
•Surplus property is stored in a designated area to keep isles clear and free for movement.
•Surpluses items in a timely manner to prevent overcrowding.
•May be required to perform other duties as assigned. •May be required to assist the Department or state government generally in the event of an emergency declaration by the Governor.
Minimum Qualifications
•Working knowledge of storekeeping and inventory recordkeeping practices and procedures; of procurement and inventory management procedures and processes; and of supervisory principles and practices.
•Skill in operating computers and using Microsoft Office applications and other commonly utilized business software.
•Demonstrated ability to supervise storekeepers and mailroom employees; to create and maintain records; to communicate effectively orally and in writing in English; to work and communicate with others in a professional manner; to operate 25,000 lb. GVW motor vehicle and forklift; to lift up to 75 pounds unassisted; and to work in extreme temperatures, at heights, and around moving machinery that can create high frequency noise.
•Graduation from high school or GED.
•Valid motor vehicle operator’s license.
•Experience in receiving, storing, and issuing supplies in a large operation setting.
•Experience using Mansfield oil, Voyager fuel card and Multi-Service Aviation fuel card software.
•Must have a basic understanding of the State of Virginia Agency Procurement and Surplus Property Procedures. •Must have mailroom operations, policy, and UPS worldship software experience.
•An equivalent combination of training and experience indicating possession of the preceding knowledge, skills, and abilities may substitute for this education and experience.
