Job Description

Provides administrative assistance to Department Head and Department of the Population Health Science of the Virginia-Maryland College of Veterinary Medicine, at Virginia Tech, to ensure an efficient level of daily office management. Duties include, but not limited to drafting and editing materials, scheduling meetings, processing personnel actions, and acting as the overall department coordinator. Processes and reconciles department expenditures and prepares monthly budget status reports. Ordering items for department, scheduling and arranging travel and lodging for faculty, visiting faculty and prospective candidates. Organizing and storing documents related to departmental faculty, committees, and confidential departmental matters. Knowledge of Promotion and Tenure (P&T) process.

Required Qualifications

Experience providing senior level administrative support; strong computer skills with advanced word processing and spreadsheet skills; HR/bookkeeping/accounting experience; ability to work independently and within a team environment; ability to make decisions, organize and prioritize work, and perform multiple tasks simultaneously; excellent communication and interpersonal skills with the ability to work effectively with a diverse clientele and to create and maintain collaborative relationships.

Preferred Qualifications

Knowledge of university forms, policies, and procedures preferred. Previous experience with Microsoft Excel, Word, and power Point. Previous experience with VT University systems such as Banner, HokieMart, Chrome River (Travel System), Virginia Tech Foundation, MicroStrategy, and Time Clock Plus. Knowledge of I-9 system, PageUp Applicant Tracking System/LMS/Onboarding, as well as other onboarding best practices.
