Job Duties

The Virginia Department of Juvenile Justice (DJJ) protects the public by preparing court-involved youth to be successful citizens. DJJ is committed to excellence in public safety by providing effective interventions that improve the lives of youth, strengthening both families and communities within the Commonwealth.

The Administrative Support Specialist serves as point of contact at the Virginia Public Safety Training Center (VPSTC) Administrative Building, answering the phone and welcoming guests, providing front door lobby access to guest and providing general situational awareness to those working in the building. Provides administrative support to the VPSTC Manager by preparing correspondence, presentations and special reports. Keeps the manager informed of requests and the information provided. Maintains (electronic and hard copy) to the manager's calendar, handles administrative functions relevant to scheduling appointments/meetings for the manager, secures meeting places, confirms times and notifies appropriate parties, preparing meeting material if needed.

This position will also attend meetings and take notes on behalf of the manager. Responds to phone and in-person requests for operational and administrative information from operational staff. Retrieves, date stamps and sorts incoming mail. Aids with customer relations, logistics for the VPSTC and Barrett Facilities, independently analyzes and reviews VPSTC Events Calendar and assist with the coordination of meal deliveries and distributions throughout the campus as directed by the Facility Operations Manager. Assists the VPSTC Operations Department with the creation of forms and spreadsheets along with other administrative needs. Handles distribution of fishing and hunting applications. Provides general administrative support as needed to the VPSTC team to include the Business Office, Human Resources, and Customer Relations.

This is an hourly/wage position and is limited to 1500 hours to average 29 hours per week in a 12-month period. This position does not include the state benefit package.

Minimum Qualifications

  • Considerable knowledge of Microsoft software to include Word, Excel and PowerPoint.
  • Experience serving in an administrative or staff support role with emphasis on customer service.

Additional Considerations

  • Ability to work independently, effectively plan and organize work and effectively communicate orally and in writing.
