University Advancement at the University of Virginia (UVA) is seeking a highly qualified candidate to join our organization as an Advancement Coordinator. This role is an essential member of the team supporting the Miller Center and reports to the Center’s Chief Advancement Officer. They will assist with travel and expense reimbursement, event preparation, scheduling, data entry, and reporting needs.
Key Responsibilities :
Coordination
Prepare materials for donor visits and draft donor correspondence for development officers.
Perform data entry and provide database management support, including but not limited to generating mailing lists, maintaining and updating donor information, entering contact reports and proposals, and creating and tracking events.
Create and manipulate reports based on a set of criteria provided by the director or development officers.
Assist development officers with portfolio management and reporting using Advance, Evertrue, and the Business Intelligence (BI) Portal.
Work with the Miller Center finance team on accurate gift processing and designation, budget oversight, and accurate expense reporting.
Partner with the Advancement Team to research and place orders for donor gifts and marketing materials.
Miller Center Foundation
Serve as the Secretary of the Miller Center Foundation Board of Directors, taking minutes and managing meeting coordination.
Maintain accurate and up-to-date state registration records for the Miller Center Foundation working directly with the external registrations provider.
Prepare board meeting and event materials and provide event support as needed
Facilitate authorized expense transactions on behalf of the Miller Center Foundation as needed.
Events
Work with the Chief Advancement Officer and the Miller Center events manager to prepare, support, and process reimbursements and/or invoices for donor-centric events such as the Miller Center’s 50th Anniversary celebration, Presidential Cabinet events, receptions, Foundation Board and Governing Council meetings and other events as assigned; may include after-hours activities several times per semester.
In collaboration with the events manager, help prepare, support, and process reimbursements and/or invoices for select internal meetings and celebrations to advance workplace culture.
Administration
Manage scheduling and meeting coordination for the Chief Advancement Officer and other team members as needed.
Process expenses and reimbursements for development officers in an accurate and timely manner.
Provide general office support as needed including editing correspondence, answering phone calls, and coordinating travel.
In addition to the above job responsibilities, other duties as assigned.
Required Qualifications:
A high school diploma with at least three years of related experience. Experience as an intern or volunteer may qualify.
Proficiency with Microsoft Office programs.
Ability to work independently, using sound judgment to navigate obstacles as needed and complete tasks with minimal guidance.
Excellent verbal and written communications skills.
Preferred Qualifications:
A bachelor’s degree with two or more years of professional work experience in an office environment.
Prior experience with CRM databases and other marketing or event software such as Advance, Marketing Cloud, Eventbrite, etc.
Prior experience in events preparation and execution such as working with caterers, making hotel reservations, arranging transportation, etc.
UVA Advancement offers a flexible and hybrid workplace. All team members must have access to and maintain a secure home office environment with high-speed internet service and work collaboratively with others using a variety of technologies and tools. This hybrid position offers periodic opportunities to work remotely, although frequent in-person work in our office building, on UVA Grounds, or at event venues is required.

This position is a restricted position and is dependent upon project need, availability of funding and performance. The anticipated hiring range: $24.00 - 25.96/hr ($50,000 - $54,000 annually) and will be commensurate with education and experience.
