General Description:
This position will act as the primary bridge between Facilities Project Managers and Auxiliary Operations. The position is responsible for coordinating project activities, maintaining project documentation and timelines, attending project meetings and walkthroughs, tracking action items, coordinating equipment turnover, and ensuring Auxiliary Operations tasks are completed according to project schedules.
This position will also provide technical support across the college for the College’s print management system (ACEPrint), One-Card ID solution (Mobile Credential), Electronic Door Access (EDA), and security camera infrastructure (VMS). This includes all software and associated hardware.
***This position is eligible for telework after completion of state one-year probationary period.***
Duties and Tasks:
- Develop and maintain project schedules, task lists, and milestone tracking.
- Serve as the primary point of contact between Auxiliary operations, facilities project managers, and related stakeholders.
- Attending project meetings and walkthroughs and capturing detailed notes and action items.
- Organize project equipment turnover.
- Maintain project documentation, meeting minutes, drawings, submittals, and project records.
- Provide supervisors with project updates.
- Complete technical tasks with minimal supervision.
- Provide technical support for the College’s print management system (ACEPrint), One-Card ID solution (Mobile Credential), Electronic Door Access (EDA), security camera infrastructure (VMS) and additional related systems.
- Work with vendors, faculty, staff, and students to resolve technical issues with vendors on various projects.
- Take calls, track, and maintain tickets associated with technical issues related to the College’s print management system (ACEPrint), One-Card ID solution (Mobile Credential), Electronic Door Access (EDA), and security camera infrastructure (VMS).
- Provide excellent customer service for all customers both internal and external.
- Service and close tickets in a timely manner.
- Efficiently and effectively use all the processes and procedures of the Auxiliary Operations department.
- Effectively communicate verbally and in writing with technical and non-technical personnel.
- Schedule can include occasional evenings or weekend work.
Must be able to Pass CJIS Level 4 and FBI and Virginia State Police background check.
This position is funded with non-continuous or non-recurring funding and is subject to continuation based on fiscal year funds and the needs of the college.
Minimum Qualifications:KSAs:
- Ability to multitask and manage competing priorities easily.
- Great verbal and written communication skills. Writing clear meeting minutes and team updates.
- Exceptional time-management and problem solving skills.
- Experience in project coordination.
- Ability to work cooperatively with faculty, staff, students and administrators.
- Knowledge of multi-functional printing devices, hardware point of sale devices, software installations, networks and data communication and the ability to analyze and diagnose routine and unusual related equipment problems.
- Ability to install and troubleshoot computer software and hardware.
- Good interpersonal skills with demonstrated ability to communicate effectively – verbally and in writing with technical and non-technical personnel.
- Proficiency with both Microsoft and Apple OS’s applications.
- Experience with project management software.
- Proven ability to plan and complete technical tasks with minimal supervision.
- Ability to safely move and handle 50 pounds independently.
Minimum Work Experience:
- Experience maintaining multi-function devices, desktop/laptops, peripherals and associated software (PC/MAC).
- Experience in project coordination tracking project timelines, documentation, and deliverables.
- Experience providing customer service to managers, users, and/or clients.
- Experience troubleshooting hardware and software devices.
- Unrestricted Valid Driver’s License in good standing.
