The Department of Chemistry at the University of Virginia (UVA) seeks applications for a Storeroom Manager. The UVa Chemistry Department currently employs 33 tenured, tenure-track and general, the largest graduate program in the Graduate School of Arts & Sciences, and an award-winning undergraduate program. The successful candidate will be expected to perform operational support for a composite of several functions that support the Chemistry Storeroom activities, purchasing, and shipping and receiving. This could include fiscal administration, procurement, human resources, academic support, student services, communications, and other administrative functions. The position will be hired at the Inventory Line Manager level.

Job Description

Inventory Line Managers oversee the receipt, distribution, organization, and management of inventory at warehouses or other storage facilities. They work independently and oversee other staff, focusing on time management, productivity, accuracy, efficiency within facilities, and maintenance of a highly organized and safe workplace. Inventory Line Managers operate according to established guidelines, adjusting policies or practices as needed to maintain efficiency and adhere to regulatory compliance guidelines. They hire and train other employees with input from senior leadership.
  • Coordinate all department purchasing activities and serve as specialist and contact for all Chemistry Dept. personnel.
  • Serve as department contact with all University vendors to provide best possible pricing and quality of supply purchases.
  • Issue purchase orders, credit card orders and requisitions including equipment, services and conference lodging as well as related quotes and sole source justification forms.
  • Reconcile purchasing card statement monthly and provide to fiscal technician.
  • Review all purchase orders for accuracy of PTAO information and compliance with Cost accounting standards.
  • Assist faculty and staff to schedule equipment service and maintenance contracts and issue related purchase orders.
  • Research payment schedules with vendors and submit required documentation to expedite payments when necessary.
  • Perform full range of supervisory functions which include developing work standards, initiating policies and procedures, conducting employee performance evaluations and performance management, interviewing, hiring, and training.
  • Oversee inventory of the warehouse or storage facility, keeping accurate records regarding in-stock inventory and of items purchased by various users.
  • Oversee shipping of all FedEx, UPS, and USPS items requiring freight service.
  • Ensure the timely transfer of inventory to appropriate destinations.
  • Secondary contact on service calls to Facilities Management for departmental maintenance issues.
  • Assist with building security and verify entrance doors are operating properly.
  • Back up key and card access to all buildings and lab keys. Process orders for replacement keys when necessary.
  • Assist with completion of departmental capital asset inventory every two years of approximately 300+ items along with managing disposal of surplus property and coordination of delivery to UVA surplus.
  • Coordinate and assist with the reconciliation of the Chemical inventory system.
  • In addition to the above job responsibilities, other duties may be assigned.


MINIMUM REQUIREMENTS:

Education: High school diploma or equivalent. Bachelor’s Degree preferred.

Experience:
  • At least 2 years of inventory experience. 4 years preferred.
  • Successful candidate will have at least three years of purchasing experience.
  • Working knowledge of Microsoft Excel and Microsoft Word is preferred
  • Knowledge of Oracle purchasing Marketplace is preferred
  • Experience with computerized inventory systems preferred
  • Successful candidate will have excellent written and verbal communication skills.

PHYSICAL DEMANDS

This position is located In Charlottesville, Virginia.

The anticipated start date is as soon as possible but preferable by June 15, 2024.

Anticipated Hiring Range: $65,000-70,000 commensurate with education and experience. This is an Exempt level, benefited position.
