Job Duties

The Office of the Executive Secretary of the Supreme Court of Virginia is seeking applicants for the position of Circuit Court Support Specialist in the Department of Judicial Services (DJS). DJS offers administrative, procedural, management, and information technology assistance and support to the judges and clerks of the Commonwealth.

Essential Duties & Responsibilities:

Coordinate all new project management activities, resources, equipment, and information. Engage User Groups in major applications and select projects. Ensure that end-user needs are met as projects evolve, as well as monitor project progress and handle any issues that arise. Along with the circuit court team manager, analyze risks and opportunities. Working with other OES and other agency's project management team members to eliminate any delays in development progress. Working with the circuit court team manager, security officer, and legal department to ensure that the project scope meets all legal and security risks.

Create and oversee comprehensive project documentation, plans, and reports. Attend monthly PMO meetings and communicate project updates with the circuit court team. Participate in weekly Technical Review Board meetings (TRB) with OES staff and appropriate circuit court team members for the review, approval, and prioritization of software service requests (enhancements). Assist courts through telephone and e-mail support. Problem resolution of courts and department’s concerns in the use of the PC, printers, and supporting software/hardware on-site and by telephone; support of applications implemented and maintained in the courts.

Act as liaison between circuit courts the Office of the Executive Secretary; and other state and local agencies. Other duties as directed by the Director or Executive Secretary of the Supreme Court of Virginia.

Minimum Qualifications

High school diploma or equivalent required. Most competitive applicants will demonstrate

competence in clerk’s office procedures, automated system design and user acceptance testing, written communication and presentation skills, court development and training,

procedural development and the ability to interact with all levels of personnel within the

Judiciary. Competence in clerk’s office procedures will preferably be demonstrated by direct clerk’s office experience and related analytical or case management experience. Applicants must be highly organized and possess the ability to handle several tasks, projects, and administrative assignments independently and simultaneously. Excellent written and verbal communication skills and advancing knowledge of office automation systems and computer software are required.

Preferred Qualifications:

The applicant would have extensive knowledge of the circuit case management system, imaging systems, and related interfaces with other agencies like the Department of Motor Vehicles and the Virginia State Police.

Additional Considerations

The position requires residency within the Commonwealth of Virginia with occasional travel throughout the state. Remote work options may be available.
