The Office of the University Registrar (UREG) at the University of Virginia seeks applicants to join its collaborative team as Course Scheduling Specialist.

Part of the Enrollment Division, UREG advances the university’s teaching mission by maintaining the accuracy, integrity, and security of student academic records. UREG is responsible for creating the schedule of courses and assigning courses to classrooms each term. Part of the Course Operations team in UREG, the Course Scheduling Specialist shares responsibility for creating and maintaining all academic course information in the institution’s student information system (SIS), PeopleSoft Campus Solutions. This includes using the institution’s academic space scheduling tools, Optimizer and 25Live, to allocate and manage instructional space in collaboration with schools, academic departments, and other units. This position will contribute to smooth course scheduling processes in the schools and implement related process improvements, collaborating with colleagues in the provost’s office, schools, and departments in support of the institution’s commitment to providing a high-quality educational experience for students and instructors.

  • Support optimal course scheduling processes each term, ensuring appropriate coverage of course offerings across programs and departments.
  • Contribute to the University’s strategic planning efforts to develop and optimize its use of academic space.
  • Support UREG team in providing high quality services to students, families, and the university community.


Responsibilities may be revised to support curriculum and course management, the Office of the University Registrar, Enrollment, and the university community.

Qualifications:
  • High School Diploma and at least one year of experience working with student records.
  • Preference will be given to applicants with a Bachelor’s Degree or who have four (4) or more years of experience


In addition, the successful candidate must possess the following qualities and skills:
  • Ability to communicate effectively, both orally and in writing, with people from all levels and backgrounds at the University, including students, families, and faculty members-successful candidates must excel in this area and will be able to demonstrate their ability to do this particularly well in challenging contexts.
  • Ability to build trusting, collaborative relationships and inspire others to work toward a common goal without needing formal authority to be successful.
  • Strong analytical skills-ability to work collaboratively with others to define problems accurately and concisely, using both quantitative and qualitative methods, develop and execute one or more solutions, and evaluate their effectiveness.
  • Ability to work successfully with individuals from diverse backgrounds, cultures, and life experiences.


The Course Scheduling Specialist will report to the Associate University Registrar for Course Operations.

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings and programs.

This position is located in Charlottesville, VA.

Anticipated Hiring Range: $50,000 - $60,000, commensurate with education and experience.
