Job Duties

The Deputy Clerk (Grade 8) plays a key role in a high-volume, fast-paced office environment with frequent deadlines. This position is responsible for ensuring that the court’s instructions are executed efficiently, and legal documents are prepared with accuracy and in full compliance with state and local policies. The ideal candidate will have strong organizational skills, attention to detail, and the ability to provide excellent customer service both in person and by phone. The Deputy Clerk must also be capable of assisting and backing up other staff members as needed. Essential Duties & Responsibilities
Fauquier County Juvenile and Domestic Relations District Court is seeking a detail-oriented and customer-focused individual to join our team as a Deputy Clerk. This position involves a variety of clerical tasks related to the processing, preparing, and maintaining case files. The ideal candidate will have strong organizational skills, the ability to multitask in a fast-paced environment, and provide excellent customer service to the public, attorneys, and court-related agencies.
• Case Management: Process, prepare, and maintain case files for incoming and ongoing cases, ensuring all documentation is accurate, complete, and filed in accordance with office guidelines.
• Customer Service: Assist the public, attorneys, and court agencies by answering inquiries related to case status, procedures, hearing dates, and other related matters. Provide professional, courteous service both in person and by phone.
• Document Review & Processing: Receive and review filings, new cases, warrants, traffic summonses, subpoenas, bond forfeitures, appeals, unlawful detainers, and warrants in debts. Process all documents accurately and efficiently, ensuring compliance with legal and procedural standards.
• Financial Management: Receive and process payments for fines, court costs, and other fees. Accurately enter and account for all monies received by the court.
• File Maintenance: Ensure that case files are properly updated and stored. Retrieve and distribute files as necessary.
• Data Entry: Accurately enter case-related information into the court's database or case management system.
• General Office Support: Assist with the preparation and organization of hearings and court sessions, ensuring all necessary documents are ready and available.
• Multitasking & Time Management: Effectively manage multiple tasks in a high-volume environment while maintaining attention to detail and adhering to deadlines. Must be able to take the initiative and handle additional responsibilities as assigned by management.

Minimum Qualifications

Education: High School diploma or equivalent required.
Experience: While all applicants are welcome, the most competitive candidates will have considerable experience in a court, business, or office-related environment.
Skills & Abilities:
• Highly organized, with strong time management skills and the ability to prioritize tasks effectively.
• Excellent written and verbal communication skills, with the ability to interact professionally with a diverse range of individuals.
• Advanced knowledge of office automation systems and computer software (e.g., Microsoft Office Suite, case management systems, or similar software).

Additional Considerations

Court experience: Previous experience in a court or legal setting is a plus.
Handling money: Experience processing payments, accounting for fees, fines, or other transactions is preferred.
