Position Summary

The Executive Assistant (EA) will provide high-level administrative support to the Executive Director for Operations and the Chief Administrative Officer (CAO) at Massey Comprehensive Cancer Center. This role will be responsible for coordinating executive-level activities, managing complex schedules, handling confidential communications, and assisting with faculty onboarding processes. The EA will play a key role in ensuring seamless administrative operations within the executive office.

Key Responsibilities

Executive Support
  • Provide comprehensive administrative support to the Executive Director for Operations and the CAO, including calendar management, meeting coordination, and travel arrangements.
  • Prepare and edit correspondence, reports, and presentations on behalf of executive leadership.
  • Serve as the primary point of contact between internal/external stakeholders.
  • Coordinate and track follow-ups from leadership meetings to ensure timely execution of action items.
  • Maintain and organize confidential records and documentation.


Faculty Onboarding Support
  • Serve as a liaison between new faculty members and key departments, ensuring a smooth onboarding experience.
  • Coordinate onboarding logistics, including credentialing, HR documentation, workspace setup, and IT access.
  • Develop and maintain onboarding checklists and process guides to streamline faculty integration.
  • Facilitate introductions and schedule orientation meetings with relevant stakeholders.


Operational & Project Support
  • Assist in the development and implementation of administrative procedures to enhance efficiency within the office of Administrative Services.
  • Provide logistical support for internal and external events, including executive leadership meetings, retreats, and conferences.
  • Track key deadlines and assist in preparing reports, dashboards, and performance metrics for leadership.
  • Other duties as assigned.
