Job Duties

Provides executive level administrative support and internal and external liaison to facilitate operations within the agency executive leadership team. Ensures executive leadership team operates at optimum efficiency and confidentiality is maintained.

Coordinates weekly management sync meetings, status reporting, and coordination on constituent inquiries with Secretary's Office. Handles and coordinates confidential and highly sensitive information and projects; conducts research, reviews information, and works with other agency staff to obtain and distribute information. Handles travel arrangements, reimbursement, and external meeting scheduling for executive leadership team. Manages preparation, logistics, travel, and other arrangements for Virginia Board of Workforce Development and Virginia Apprenticeship Council. Serves as agency
FOIA officer.

Minimum Qualifications

• Considerable knowledge of the principles and practices of office and workflow management; governmental operations; business etiquette and protocol (e.g., telephone etiquette; proper spelling, punctuation, grammar, and style); and lines of authority).
• Strong oral and written, organizational, typing, computer (e.g., MS Office Professional or similar software), analytical, and customer service skills.
• Demonstrated ability to provide executive level support to senior managers; interact with a wide variety of individuals inside and outside the agency; communicate tactfully with individuals and groups; work independently and with others; make appropriate judgments/recommendations on issues with broad agency impact; manage a variety of assignments and changing priorities; perform administrative duties (e.g., reception, typing, filing, meeting and travel logistics, and supplies); interpret policies and procedures; and perform quantitative and narrative reporting.

Additional Considerations

• Experience providing administrative support and managing office activities for an executive or senior manager.
• Experience providing executive level administrative support in a high-volume environment.
• Knowledge of the Freedom of Information Act rules and regulations.
