The University of Virginia School of Medicine (SOM) seeks a Faculty Affairs Specialist to join its team. The Faculty Affairs Specialist position is an integral part of the Faculty Affairs team within the SOM Dean’s Office and assists in day-to-day services supporting the faculty life cycle for SOM’s entire faculty population, including the coordination of HR and administrative processes. The ideal candidate has excellent verbal and written communication skills, manages competing priorities, has outstanding interpersonal and organizational skills, and pays attention to detail. Time management skills and a proven ability to meet deadlines are essential.

Job Responsibilities Include:
  • Manage calendars, communications, meeting schedules, meeting documentation and follow up, and other planning and organizational tasks.
  • Serve as the first point of contact triaging and answering questions for Faculty Affairs in the shared inbox.
  • Create action plans to ensure that decisions made during meetings receive sufficient attention and follow through.
  • Takes, documents, and distributes minutes as necessary.
  • Assists the Assistant Director with creating instructional documents for promotion and tenure (P&T) to aid departments in managing their candidates, meeting deadlines, understanding the faculty appointment process and policies, and accurately inputting information into SOM’s online promotion and tenure system.
  • Assists departments with running monthly Workday reports and interpreting data.
  • Develops appropriate data management methods. Interpret information and make informed decisions based on analysis.
  • Assists with the faculty appointment letter process by working collaboratively with the SOM departments and referencing relevant SOM and Provost policies.
  • Performs data audits with the Assistant Director of Faculty Affairs to ensure the accuracy of SOM faculty appointment data in Workday.
  • Manage the Faculty Affairs website, including recommending content and making requested changes.
  • Executes special projects and routine activities in support of the SOM faculty affairs process.
  • Assist Faculty Affairs team members with tracking and managing faculty personnel actions.


This in-person role reports to the Director of Faculty Affairs and works closely with faculty, department staff, and senior administrators throughout the SOM and the University. This position will handle confidential and sensitive information, so a high level of discretion is required.

The successful candidate must have excellent communication skills, outstanding editing and critical thinking skills, the ability to maintain confidentiality, and a keen desire to support the success of others. The candidate must also have the ability to work across departments and consistently strive for excellence in customer service.

MINIMUM REQUIREMENTS
Education: Bachelor's degree
Experience: Two years of experience. Relevant experience may be considered in lieu of a degree.

Preferred Qualifications:
  • Prior experience in an academic institution.
  • Proficiency in Microsoft Excel and Word.
  • Proficiency in Microsoft Outlook, Teams, and Zoom.

PHYSICAL DEMANDS
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
