Job Description:
The Human Resources Assistant provides helpful front-line administrative and customer service support to the Human Resources Department. The position supports compliance, records management, and friendly, responsive service while assisting with routine HR transactions and inquiries. By managing clerical, reception, and coordination functions, this role allows the CHRO and HR analysts to focus on complex, strategic, and advisory HR services. This position requires on-site presence; no telework is available for this role.

Monday-Friday, four hours per day. Daily hours of work will be flexible between the hours of 9 a.m. and 5 p.m. Additional hours for special projects may be required. The final schedule will require approval of the supervisor. On-site presence required; no telework is available for this role.

The Human Resources Assistant provides helpful front-line administrative and customer service support to the Human Resources Department. Customer Service & Reception
- Serves as the first point of contact for the HR office, providing professional and courteous reception services.
- Answers phones, manages voicemail, and routes inquiries to appropriate HR staff.
- Responds to routine employee and applicant questions regarding:
- Status of job postings and applications
- Basic payroll and tax-related forms (W‑2, W‑4, direct deposit)
- I-9 Processing
- Provides friendly, service-oriented assistance while maintaining confidentiality.
Records Management & Compliance Support
- Maintains electronic personnel files in accordance with applicable records retention schedules and institutional policies.
- Supports accurate document indexing, filing, and secure storage.
- Assists with mail distribution, scanning, and document tracking.
Administrative & HR Program Support, under the direction of the CHRO or designee, assists with:
- Scheduling, data entry, tracking, and follow-up
- Document preparation
- Procurement tracking
- Service Requests, Ticket tracking (TDX)
- Professional development request processing
- Creating, maintaining, or purging Employee Portal content
- Coordinating COVLC Learning Management-related activities
- Educational Assistance request processing
- Service Awards and Distinguished Awards

Compensation:
The hourly pay range for this position is $20.41-$27.55. The position is part-time and as such cannot exceed 20 hours per week and is not eligible for health or leave benefits. However, the position may offer educational benefits through our professional development and educational assistance policies.

- Demonstrated ability to interact with employees, supervisors, and the public with kindness, emotional intelligence, professionalism, and composure, particularly in sensitive or complex situations.
- Demonstrated knowledge of records management and document retention principles and accurate data entry.
- Demonstrated ability to maintain confidentiality and exercise discretion.
- Demonstrated proficiency with office productivity tools (Word, Excel, Outlook)
- Demonstrated ability to manage multiple tasks, prioritize effectively, and to be accurate
- Ability to learn and use HR systems and processes (e.g., applicant tracking, HRIS, ticketing systems)
- Knowledge of basic human resources concepts, terminology, and processes.
