Position Summary

Reporting to the Associate Vice President for Human Resources, the Human Resources Coordinator provides essential support for HR functions at PVCC. The coordinator offers frontline assistance to employees, facilitates HR processes, and ensures compliance with state and federal requirements. The coordinator plays a key role in ensuring the smooth operation of HR while delivering high-quality customer service. The successful incumbent will possess exceptional customer service skills and the ability to handle sensitive and confidential information professionally.

Duties and Responsibilities:

Employee Support

  • Serve as the first point of contact for employee walk-ins, emails, and phone inquiries.
  • Assist employees in completing documents and provide guidance or appropriate referral on HR policies, payroll processes, and general employment matters.
  • Direct employees to appropriate resources or HR personnel for specialized assistance.

Employee Records & Data Management

  • Organize and maintain employee personnel files (both hard copy and electronic) in accordance with established retention policies.
  • Update HR databases with personnel changes, terminations, and new hires.
  • Provide support for the annual faculty multi-year appointments and promotions process.
  • Collect and track faculty contracts, coordinating with the President and Executive Assistant to ensure accuracy and execution.

HR Operations & Office Support

  • Assist with organizing employee onboarding, recognition, and engagement activities.
  • Maintain PVCC’s HR team’s web presence.
  • Order office supplies, process requisitions through the eVA state procurement system, and track HR-related expenses.
  • May occasionally provide general administrative support to the AVP of Human Resources.

Work Environment & Physical Demands

  • Standard office environment.
  • Ability to stand, bend, and lift up to 10 lbs. for organizing, transporting, or filing HR materials.
  • Frequent interaction with employees in person, by email, and by phone.
Minimum Qualifications:

  • Excellent interpersonal and communication skills with a strong customer service orientation.
  • Strong organizational skills, ability to multitask and work independently, attention to detail, and the ability to maintain high levels of confidentiality with personnel information.
  • Ability to analyze issues, provide guidance, and recommend appropriate actions or refer them to the appropriate individuals for support.
  • Proficiency in Microsoft Office Suite and the ability to learn HR software.
  • Basic understanding of HR principles and knowledge of applicable state and federal employment laws.
  • Experience and comfort with data management and information systems administration.

Additional Considerations:

  • Experience working in a higher education or public-sector HR environment.
  • Familiarity with Virginia Department of Human Resource Management (DHRM) policies.
  • Experience with HR Information Systems (HRIS).
