DGS Division of Real Estate Services (DRES) provides a full range of real estate services to state agencies to best meet their needs while avoiding unnecessary costs. DRES manages the COVA’s broad portfolio of leases, sells or assists with redeploying underutilized real estate assets and oversees other real estate transactions as needed by state agencies. The Division assists agencies and institutions to develop and maintain facility strategic plans, assessing current and future facility needs.
DRES is currently seeking a qualified Commercial Lease Administrator who will assist the DGS DRES Business Manager in providing general business management and Lease Administration to DGS DRES and administering the portfolio of DGS leases which is currently approximately 500 office leases totaling approximately $6.3 million monthly in rent expense.
This position is instrumental in facilitating lease accounting information to the Accounting/Fiscal Department to ensure DRES and the Lease Administration Team continue to function smoothly and efficiently when accounting for payables and receivables. This allows continued streamlined functionality and better efficiency in order to provide the information for General Assembly reporting requirements.
Minimum Qualifications
Candidate must have considerable experience in commercial lease administration, real estate business management, or commercial property management accounting in performing financial analysis of lease transactions and understanding commercial leases and other legal documents. Demonstrated ability and experience with reconciling commercial lease and construction related billings against contract provisions and to allocate costs based on square footage or other appropriate drivers is required. Must have experience preparing all documentation and records required for lease and contract administration. Ability to manage multiple priorities within a fast-paced environment and to work independently and as part of a team. Excellent attention to detail skills is a must. Excellent interpersonal skills and ability to effectively communicate with different levels of management and staff. Highly skilled in the use of PC’s (Microsoft Office Products) is required. Skilled in the use of lease administration database management system and/or billing a management system. Experience preparing documentation and records required for commercial lease and contract administration is required. Considerable experience performing financial analysis of commercial lease transactions such as landlord operating expenses, charges and reconciliations, common area maintenance and pass-through charges and reconciliations, and rent increase calculations.
Additional Considerations
Experience using commercial Real Estate/Lease Administration Software is an additional consideration.
