As a Payroll Coordinator, you will play a vital role in ensuring employees are paid accurately and on time while supporting payroll compliance. This position is ideal for a self-driven, detail-oriented professional who enjoys working with numbers, managing data, and solving data problems and working within strict guidelines and procedures while consistently under deadlines. As a part of the Human Resources Team, this position is also involved in the recruitment process as an active participant on College Search Committees, serving as an HR Representative to ensure effective, fair, and compliant recruitments.

Key Responsibilities
The Payroll Coordinator will:
  • Coordinate and process payroll for all college employees in collaboration with the Virginia Community College System (VCCS) Shared Services Center.
  • Review and reconcile payroll data to ensure accuracy and timely processing.
  • Manage out-of-state tax reconciliations and required reporting.
  • Prepare routine and ad hoc payroll reports.
  • Monitor wage employee hours and ensure compliance related to ACA guidelines.
  • Reviewing queries to ensure all leave and time are submitted & approved properly; resolving any errors and/or exceptions timely.
  • Respond to employee and supervisor payroll inquiries.
  • Maintain and update payroll procedures and documentation.
  • Support Human Resources initiatives, including participation on search committees and other HR-related duties.
  • Perform other duties as assigned.
Minimum Qualifications:

Successful candidates will demonstrate:
  • Comfort and skill working with numerical data, auditing information, and resolving discrepancies
  • Ability to follow established procedures and understand payroll-related processes
  • Ability to handle confidential information with discretion and professionalism
  • Strong organizational skills and ability to manage multiple priorities and deadlines
  • Exceptional attention to detail and accuracy
  • Excellent verbal and written communication skills
  • Advanced proficiency in Microsoft Office, particularly Excel, as well as the ability to quickly learn new systems
  • Strong interpersonal skills and the ability to collaborate effectively with individuals at all organizational levels
Additional Considerations:

The following qualifications are helpful but not required:
  • Knowledge of payroll principles, practices, and applicable regulations
  • Payroll processing experience
  • Human Resources experience
  • Experience working in financial, accounting, business services, or a related field
  • Experience with HCM systems, including PeopleSoft
  • HRCI and/or SHRM certification
  • Experience working for a Virginia state agency
