Position Summary and Primary Responsibilities:

VCU School of Medicine is seeking a Preclinical Medical Education Coordinator to provide professional-level administrative support to the preclinical medical education curriculum, as well as multiple initiatives of the office. The Office of Medical Education (OME) is responsible for planning, scheduling, evaluation and maintenance of medical student curricula for the School of Medicine. The primary function of this position is to coordinate the organization and delivery of the first-year and second-year curriculum. The coordinator communicates with faculty team members, students, and administration to facilitate the effective implementation of the M1 and M2 curricula. This position assumes primary responsibility for facilitating the implementation of the curriculum on a day-to-day basis, reviews course materials, ensures that essential deadlines are met, and coordinates with team members to ensure coordinated and effective delivery.

Curriculum Management
  • Collaborates with the Associate Dean of Preclinical Medical Education and M1/M2 Course Directors to create and manage M1/M2 curriculum schedule.
  • Coordinates scheduling with Medical Education Coordinator of Longitudinal Curriculums and Practice of Clinical Medical staff.
  • Within the Learning Management System:
    -Builds M1/M2 curriculum courses and schedules.
    -Enters grade components and maintains course grade book.
    -Uploads, organizes, and manages lecture objectives and presentations.
    -Manages course calendars.
    -Assists in management of assignments, quizzes, etc.
  • Organizes and serves as the liaison in the development of various curricular activities, including, but not limited to, the following:
    -Transition to Medical School incoming class orientation, in collaboration with the Director of Student Engagement, the Student Affairs Coordinator, and the Director of the OME.
    -Anatomy and Pathology Labs
    -Simulations
  • Reserves education space needed to facilitate the M1/M2 curriculum.
  • Coordinate with the Academic Technology team for AV classroom needs.
  • Collaborates with M1/M2 Course Directors and faculty to create the list of textbooks needed for the curriculum.
  • Works within the Office of Medical Education’s process to place textbook orders with the University Bookstore.

Exams and Grades
  • Under the direction of the Associate Dean of Preclinical Medical Education, creates exams, ensures accuracy of questions and schedules exam times within the Office of Medical Education electronic testing software and learning management system.
  • Maintains secure question banks.
  • Serves as chief proctor for all M1/M2 exams and recruits additional proctors for each exam.
  • Collaborates with the Associate Dean of Preclinical Medical Education and M1/M2 Course Directors to calculate and release students’ final course grades.

Primary contact for M1/M2 students
  • Has a visible presence each day in the learning studios with the preclinical students.
  • Answers curriculum questions and assist students in navigating curriculum difficulties.
  • Educates and ensures students comply with the Medical Education Program Attendance Policy and Absence Request Procedure.

Administrative Support
  • Prepares reports and attends all preclinical curriculum meetings to draft minutes and disseminate.
  • Monitors faculty educational activities within the M1/M2 curriculum and reconciles the faculty effort report.
  • Assists in entering session and course objectives to ensure correct mapping of the curriculum.
  • Performs other duties as assigned.
