The Department of Computer Science at the University of Virginia is seeking a Project Coordinator to act as an Events and Outreach Assistant. This position will report to Emily Stacy (Associate Project Coordinator) and will assist in events from start to finish and will be responsible for order ing food, reserving space, handling travel arrangements, etc. This position also requires a basic understanding of financial pr inciples and will require access to the University’s financial system.

The UVA Department of Computer Science is a nationally recognized leader in computer science research and education. The department includes over 60 faculty members, 27 staff, over 200 graduate students, and 1700 undergraduates. Faculty are active in fundamental computer science and engineering research and are engaged in interdisciplinary initiatives with scientists, humanists, engineers in other disciplines and medical personnel. Our graduate students transition from students to collaborators through participation in world-class research projects. Our undergraduates are involved in research and are enriched by an integrated and challenging curriculum.

The Staff in the Computer Science Department provide exceptional support to faculty, students, and fellow staff members. The Staff’s support of faculty enables enhanced focus on research, teaching, and service. Excellent service from staff to students fosters a successful academic experience. The staff members champion each other’s success through cross-training, strong communication, and continuous self-improvement.

Duties and Responsibilities of this position include (but not limited to):

EVENT RESPONSIBILITIES

Event support (75%)

  • Arrange venues (on and off-Grounds)
  • Purchasing supplies
  • Scheduling logistics
  • Set-up/clean-up arrangements
  • Process reimbursements
  • Travel booking
  • Reconcile accounts (as needed)
  • Occasional evening/weekend hours may be required


Faculty recruitment (15%)

  • Organizing/updating cloud folder systems
  • Working closely with search chair for requirements and processes
  • Arranging meetings with primary stakeholders
  • Communicating continuously with all parties
  • Day-of interview assistance including Zooms, walking candidates to and from appointments, etc.


Faculty on-boarding (5%)

  • Work with finance team & ITS for supplies orders
  • Order business cards
  • Collect information for website posting
  • Place on appropriate email lists


Faculty/Student general assistance (5%)

  • Meeting support (room reservations, catering orders, be available in person for last minute requests)
  • Other administrative duties assigned as needed


OTHER
  • Possess exceptional interpersonal, organizational and planning skills.
  • Be a team player who can work effectively independently as well as on a team
  • Demonstrate excellent oral and written communication in daily interactions


QUALIFICATIONS
  • Associates Degree or higher, 1+ year(s) experience in event support or related field, some financial experience is a bonus.
  • 1 or more year(s) experience in event support/planning or related field.
  • Highly organized and proactive
  • Ability to handle multiple, competing, and simultaneous priorities effectively, and to independently research financial processing or process questions and provide appropriate direction and resolution.
  • Other administrative, team skills are a bonus
  • Strong communication skills
  • Proficiency in Microsoft 365 applications
  • This is not a fully sedentary position. Does not require heavy lifting


This position will remain open until filled. Salary of $40,000-$52,000 per year commensurate with experience and education. This is a Non-Exempt level, benefited position.
