Job Duties

The Virginia State Police is seeking a dedicated professional individual who possesses a high attention to detail to be part of our team as a Secretary Senior. This position provides clerical and administrative support to the Lieutenants and the BCI Richmond Field Office. As the Secretary Senior you will work closely with the command element of the Field Office, other support positions, and special agents to perform administrative, clerical, and support work instrumental to the efficiency of the Field Office. This position should have a detailed knowledge of all Microsoft applications and given the dynamic nature of the executive landscape, be flexible and consistent while maintaining the confidentiality of all high-level investigations and operations.

•Independently prepares correspondence in reply to routine inquires and maintains the integrity of confidential matters.
•Ensures all correspondence is correctly formatted according to policy and proofreads prior to submission.
•Reviews/maintains time attendance records and benefits information as required by the Cardinal – Human Capital Management system (HCM) or mandated by policy.
•Establishes and maintains administrative files and establishes and maintains effective working relationships.
•Completes and processes required reports and maintains proficiency in the various automated systems required for entering information.
•Greets visitors in a professional manner, answers telephone calls and forwards messages, and maintains the Section’s calendar and tracking system.

Minimum Qualifications

•Working knowledge of general office and clerical practices and procedures; of basic mathematics; of office equipment;
and of standard English grammar, spelling, punctuation and usage.
•Skill in typing/keyboarding and operating computers; and in using Microsoft Office applications.
•Demonstrated ability to manage and organize general office operations; to establish priorities, and make independent decisions; to analyze and solve problems; to expedite workflow and daily office functions; to interpret, apply, retain, and recall policies, procedures, and written and oral instructions; to compose, prepare, and track correspondence, reports and other documents and complete forms; to collect and assemble information; to gather, input and report statistics; to develop formats for special projects and on- going projects through innovative computer usage; to communicate effectively in English, orally and in writing with the public and agency staff; and to work independently and as part of a team.
•Graduation from high school or equivalent.
•Data entry/office services experience required.
•Must be eligible to become Virginia Criminal Information Network (VCIN) certified, which requires either United States (U.S.) citizenship or having been a lawful permanent resident of the U.S. and eligible for naturalization.
