The Kinesiology Department in the School of Education & Human Development (EHD) is seeking a Senior Unit Administrator to manage daily operations including academic administration, space management, human resources, and general office and academic operations. Additionally, this Senior Administrator will provide guidance and set policies and procedures for other staff who provide administrative supports to EHD departments, with an effort toward standardization, efficiency, improved service levels, and cross-departmental collaboration. The Senior Administrator will initially supervise one employee in carrying out the operations of the Kinesiology Department and its existing affiliated programs. This position reports to the Senior Associate Dean for Management and Planning, with secondary reporting to the chair of the Department of Kinesiology. The position’s primary office will be in the Student Health and Wellness Building where the Department of Kinesiology is located.

The Department of Kinesiology has 15 full-time faculty, 80 graduate students, and 300 undergraduate students and is a vibrant STEM-oriented department with several health science research laboratories. The Department is also home to the service-oriented Lifetime Physical Activity program and maintains several clinical education and research collaborations both on- and off-grounds. The department is considering launching two new high-profile programs both on Grounds and in Northern Virginia. The Senior Administrator will be expected to manage this complex effort, ensuring timely execution of project milestones and close collaboration with various offices at the school and University. Additional supervisory responsibilities may be expected during and after program launch.

This position will provide guidance and coordination for other Unit Administrators across EHD. Initially, the position is roughly comprised of 40% KINE UA duties, 40% project management and administration, and 20% EHD administrative oversight.

Job Duties
  • Work closely with the Senior Department Finance Administrator to assist with departmental budget planning by analyzing short- and long-term program plans, including enrollments, staffing, and other changes that may impact program or department related finances. Plan the use of departmental funding to ensure accounts are not overdrawn.
  • Partner with the Senior Department Finance Administrator to manage departmental financial aid including scholarships and fellowships.
  • Oversee and coordinate various aspects of programmatic and departmental operations.
  • Coordinate faculty recruitment planning and analysis with department chair and Dean’s Office, including management of the entire hiring cycle.
  • Responsible for a variety of human resources activities including recruitment, classification and compensation analysis, employee relations, advising on faculty HR policies and procedures and answering HR process questions across employee types.
  • Coordinate departmental faculty, staff, and student wage hires with the EHD Wage Hiring Coordinator and/or UHR and ensure compliance with UVa policies and procedures.
  • Support undergraduate, graduate and doctoral level programs with a significant number of course offerings.
  • Oversee the development, coordination, and maintenance of the department’s course schedule, working collaboratively with faculty and program leaders to ensure alignment with academic needs and institutional deadlines. Submit schedules to the EHD Registrar’s office accurately and on time and manage updates and adjustments throughout the semester in coordination with relevant stakeholders.
  • Submit newly developed or revised courses via the approval process managed by the Curriculum Planning Review Committee.
  • Track department funded student travel and process policy exceptions.
  • Coordinate with admissions around enrollment targets and doctoral admission process.
  • Coordinate space use and facilities planning in conjunction with the EHD facilities coordinator and the Student Health and Wellness building manager.
  • Coordinate faculty grant buy-outs and summer conversion with Research Administration staff.
  • Serve as project manager for department initiatives, including potential new programs in Charlottesville and Northern Virginia.
  • Develop consistent processes across departments with the objective of increasing efficiencies and opportunities for cross-departmental resource sharing.
  • In addition to the above job responsibilities, other duties may be assigned.


Minimum Requirements

Education: Bachelor's degree
Experience: Eight years of increasingly responsible experience. Master's degree is typical and may substitute for some experience. Relevant exempt level experience may substitute for a degree.

  • Knowledge of Microsoft Office products, including Word, Excel, PowerPoint, and Outlook
  • Familiarity with Workday HCM and Financials
  • Experience with UVAs policies and procedures and/or experience in a relevant higher education environment

Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
