Position Primary Purpose and General Responsibilities

This position will support the Research Administration team and the operations associated with the programmatic activities related to Massey Comprehensive Cancer Center (Massey) at the Virginia Commonwealth University (VCU). Responsibilities include organizational tasks and require excellent communication skills, alongside maintaining a polite and professional demeanor. This position will require the individual to be onsite at least 2-3 times per week and present during the programmatic activities (3-5 times a month). Individual must resolve issues by using administrative guidelines and established University and VCUHS policies and procedures. Position will report to the Assistant Director for Engagement and Programmatic Activities.

Some of the responsibilities include, but are not limited to:
  • Scheduling both small and large-scale meetings;
  • Assisting with research-related events;
  • Coordinating travel logistics;
  • Providing fiscal administrative support by preparing/processing expense and reimbursements authorizations;
  • Handling meeting logistics (e.g. catering, conference room scheduling, IT support, and advertising);
  • Preparing communications, such as memos, emails, invoices, reports and other correspondence;
  • Researching and collecting information;
  • Maintaining meeting agendas, minutes, and attendance; and
  • Scheduling and maintaining Executive Director for Strategic Operation’s daily calendar

Minimum Hiring Standards :
  • Excellent interpersonal and written/verbal communication skills with attention to detail in all written correspondence.
  • Excellent customer service skills with a diverse customer base.
  • Demonstrated experience and excellence coordinating/managing division activities/tasks and projects and synchronizing input from multiple stakeholders.
  • Excellent analytical/decision-making skills.
  • Excellent ability to multitask (e.g. working with faculty, administrative teams and programs)
  • Excellent organizational understanding and effective time management skills.
  • Excellent computer (Microsoft Office Suite), clerical, and organizational skills.
  • Must be self-motivated with the ability to work both independently and as a team member.
  • Must be willing to learn new skills and have strong customer service orientation.
  • Experience working collaboratively and effectively with diverse team setting (e.g., on and off site research colleagues, consultants and outside agencies). Must be able to work in a diverse environment.

Preferred Hiring Standards:

Prior experience supporting administrative tasks. Bachelor’s degree.
