The Advancement Coordinator plays a key role in expanding the scope and impact of the philanthropic priorities of UVA Health. These include access for all members of our community and new discoveries that help us fight disease. As a member of the UVA Health Development fundraising team, the Advancement Coordinator will serve as a liaison to donors, friends, volunteers, grateful patients, families, and faculty across Grounds in support of UVA Health’s priorities. They will serve in a frontline service role and act as a donor management representative with vendors, partners and colleagues. In particular, this role will focus on proactively supporting the fundraising efforts of the Senior Director of Development for Special Projects and Medical Center Initiatives and the Director of Development for Research Departments and Centers.

Administrative support may include: he/she/they will manage donor and constituent relations through direct interaction with donors, faculty members, and staff across Grounds; evaluate and analyze existing development relationships, volunteer involvement and giving; handle procurement processes, budget and financial transactions for donor relations activities and event planning; perform initial qualification of donors and prospects conducting research and analyzing information in technologies such as Advance, EverTrue, and a proprietary database of patient information; coordinate and manage logistics for complex and high-level meetings, events and site visits; document prospect activity; perform web-based prospect research; serve as a liaison to other teams on projects, events, and reports; manage scheduling, travel arrangements and reimbursements related to donor engagement and fundraising events.

The Advancement Coordinator will ensure that our outreach prospects and donors is prioritized, coordinated, and in the case of patients, fully compliant with privacy law. He/she/they will support our programs to engage volunteers, faculty and clinician partners in philanthropy, track campaign fundraising and performance metrics, and coordinate with other UVA Health Development, University Advancement colleagues, and other constituents.

Responsibilities:

Administrative Support for UVA Health Initiatives - 65%

  • Communicate in a professional manner and assist team members in ensuring timely responses to inquiries and requests for information from HSDO leadership, faculty, volunteers, donors, and community members.
  • Schedule meetings for frontline fundraisers with faculty and physician partners, donors, and/or volunteers; proactively manage calendars; organize and confirm meeting logistics; and prepare agenda and supporting materials, including briefings, patient prospect lists, reports, etc.
  • Set up and confirm travel arrangements using Travel UVA, hotel accommodations, and car rentals. Provide travel/visit itineraries. Assist with reimbursements using Expense UVA.
  • Assist frontline fundraising team in timely follow-up to donor meetings and visits, including contact reports, proposals, thank you letters, processing correspondence and forms, and filing documentation in the OnBase electronic filing system.
  • Provide support as needed for prospect/donor visits with faculty and leadership.
  • Provide general office support and partner with colleagues on larger scale projects as needed.
  • Other duties as assigned.


Prospecting and Pipeline Development - 25%
  • Generate reports, prospect lists, and conduct general prospect management and research using a database of patient information. Manage information on patient donors and prospects for fundraisers in full compliance with HIPAA patient privacy law.
  • Utilize Tableau and Advance databases to identify potential donors within the alumni, parents, and friend constituent base; perform prospect research on potential donors using web and CRM tools.
  • Assist frontline fundraisers with portfolio management and moves management for prospects and donors, using a database of patient information, Advance, and EverTrue.
  • Assist frontline fundraisers in managing prospect discovery work and prospect lists.
  • Input information into databases, including EverTrue, Advance, and a database of patient information.


UVA Health Development Support - 10%
  • Serve as liaison to donors, volunteers, board members and external organizations; field inquiries and provide guidance on giving opportunities to benefit UVA Health.
  • Coordinate with physician partners’ administrative liaisons to prepare and mail letters of philanthropic introduction to patient donors; assist frontline fundraising team in scheduling timely follow up.
  • Collaborate with other advancement colleagues to support joint projects across teams that enhance the philanthropic priorities of UVA Health as needed.
  • Provide assistance and support for occasional prospect identification and fundraising events, in partnership with HSD Donor Relations team, including but not limited to, creating guest lists and post-event reporting and follow up activities. Support events in-person as requested.
  • Draft and proofing routine correspondence, including acknowledgment letters to donors.
  • Assist with mailings; pull mailing lists and utilize mail merge for correspondence including solicitations and acknowledgment letters to donors.
  • Assist with preparation of appropriate fundraising campaign and presentation materials.

This position will remain open until filled. This is a non-Exempt level, benefited position. This position will not sponsor applicants for work visas. This position is a restricted position and is dependent upon project need, availability of funding and performance. Anticipated Hiring Range: $ 50K - $54K commensurate with education and experience.
